Recap: eXtreme365 & UG Summit in Orlando

In mid-October, we had the opportunity to be part of the eXtreme365 and the UG Summit in Orlando, Florida.Both events exceeded all of our expectations. Thank you for giving us your precious time and attention! It was a great pleasure meeting you at our booth.

The week started with extreme365 with a lot of great content from Microsoft and partners. It offered us the opportunity to shape future strategies and was a high-energy event where we could gain a deep-dive understanding of Microsoft´s roadmap, expert community insight on overcoming real-world challenges and exceptional relationship building. The value of eXtreme365 is entdless, which was due to the excellent speakers and truly informative sessions. The event was amazing and full of great people.

Followed by User Group Summit with crowds of people, great exhibitors and a lot of new contacts and customer meetings. Amazing keynote speakers, small group sessions, gripping speeches and lots of networking opportunities converted this event into a Microsoft Dynamics 365 festival. All in one we had great sessions and learned great Dynamics people!

The Microsoft Applications Summit event in Atlanta exceeded all our expectations. To begin with, we would like to thank you for giving us your precious time and attention! It was a great pleasure meeting you at our booth!

This event focused on the development of business applications and the important concept of enterprise digital transformation. A successful business enterprise in 2019 must transform itself from old analog and on-premise technologies to digital and cloud-based technologies. This summit explained how to accomplish that task. Every session and workshop was filled with demos, hints and hacks to help you ramp up your skills and transform your business. There were plenty of learning opportunties featuring a range of tools and topics for all levels of expertise. Visionary leaders presented exclusive looks at the latest trends and product roadmaps.

It was the perfect place for Dynamics 365, Power BI, Excel, PowerApps and Flow users to connect, collaborate and pack in as much learning as possible. Our team was overwhelmed by the big interest in our products and booth! All our team members enjoyed presenting the visitors how our addons can simplify the daily business.

All in all, the event was a complete success for partners and customers. Being part of this event was a great and really very special experience! Thank you again for your interest in our products. Per User Licensing limitations

For most of our products we do allow to either license all active users or only the subset of users that requires to use our solutions. This comes with certain limitations in functionality where usage of our Addon cannot be related back to a specific user.

This blog article explains the limitations and considerations you need to be aware of when purchasing a "per User" license.

DocumentsCorePack

Workflow capabilities disabled: This means that document automation inside Worfklows is not possible.

ActivityTools, SmartBar, PowerSearch: (Elements embedded into Entity - forms)

Form Element shows "no license" message: Users without a license will see a "license error" message instead of our AddOn. As this can take a severe amount of space on your form we do recommend to create separate forms for users with/without a license for our solutions.

How licenses are counted

This blog article outlines how licenses are counted in our system. The counting mechanism varies depending on the type of license being used. We differentiate here between two types of licenses – the Normal licenses and the TeamMember licenses. Below are the two different license types and a description of how the count works for each. You will also find a description on where to find information about your counted licenses.

❶ Normal licenses
For the required licenses, all users that are activated and have as Access Mode “Read-Write” in Dynamics 365, are counted. Users with “Administrative” as Access Mode are not counted.

There is the possibility to count only users with a security role for licensing. Important: We are counting user licensing assigned to the user directly or via team membership. To activate this feature the only thing you need to do is to create a new settingsKey for AutoMerge called “CountUsersWithSecurityRolesOnly” with value “true” as you can see in the figure below. More information about how to create settingsKeys can be found here.

Additionally, there are users who have app access security roles as you can see highlighted in the figure below. App access security roles are predefined roles by Microsoft and are automatically assigned to users. These security roles will not be counted by DCP until you modify them.

❷ TeamMember licenses
If you have TeamMember licenses, please notice that these are counted different. TeamMember are assigned to specific license groups in Azure Active Directory and only two types are counted – the “DYN365_ENTERPRISE_TEAM_MEMBERS" and the "DYN365_TEAM_MEMBERS".

Where to find information about counted licenses?
Sometimes it may be unclear how we count the amount of relevant Dynamics 365 users for licensing. In order to show which Dynamics 365 users are counted, we have included the "User Count Info" overview. It can be accessed via the Web License Manager (Dynamics 365 > Settings > MSCRM-ADDONS area > DocumnetsCorePack (or any other addon).

In the configuration window, please navigate to the ❶ Licensing server-tab. Here you can see the number of site licenses - in this case ❷ 22 users. For detailed information please hit the ❸ [User Count info]-button at the bottom (required “MSCRM-ADDONS.com General” solution version 2017.53 or 2018.53).

For DocumentsCorePack Online services you can access via the Service Configuration as well. Click on the [View & Install license]-button and navigate to Users as you can see in the figure below. No matter which way you choose this will open the User count info overview.

In the so openend window, you can see four sections:

Summary: Displays basic information as you can see in the figure above
Full licenses Users: Provides you with a list of all users which require a full license
Licensing Relevant Roles: If a user has assigned such a security role, he is counted for licensing
Licensing Unrelevant Roles: These are automatically assigned app access roles. If a user has these roles assigned only, he is not counted for licensing

Open the Full licenses Users by hitting the plus symbol on the left side. Here you can use the search box to look for specific users by their “User Name”. Hit on “Click to see the Roles” on the right side in order to see the relevant roles assigned to that user. “(User)” means the role is directly assigned, “(Team)” means the role is assigned to a team that user is a member of.

Via the Web License Manager, you also have the possibility to download the whole overview by hitting the [Download]-button at the bottom (e.g. to send it to our support).

An awesome week in the country of bikes, cheese, clogs, Heineken .... ended. We had such a great time last week at eXtreme365 and User Group Summit in Amsterdam. Thank you for joining us! It was a pleasure for us to be part of such a great experience and to meet old and also new business partners and customers.

The week started with extreme365 with a lot of great content from Microsoft and partners. It was a high-energy event where we could gain a deep-dive understanding of Microsoft´s roadmap, expert community insight on overcoming real-world challenges and exceptional relationship building. The atmosphere at eXtreme365 was perfect, which was due to the excellent speakers and truly informative sessions. The event was amazing and full of great people.

Also, we had the chance to showcase "Professional documents in Dynamics 365 for customer engagement PowerApps & Flow" live in front of a responsive audience. Michael Dohr outlined excellently how to standardize, simplify and automate your document processes with DocumentsCorePack. He showed different options to work with documents in:

Customer Engagement: document design, generation, processing and automation within Dynamics 365
Flow: Generate and process documents in Microsoft Flow
PowerApps: Generate and process documents in a Canvas-App
Simple template design within Microsoft Word

He also highlighted the values and benefits of our partner network, as well as the main advantages of our solutions for Microsoft Dynamics 365. It was awesome - crowded rooms at both events!

All this mixed with Amsterdam spirit. We could not have spent this week better!

How to add GroupCalendar to the Sitemap

This article outlines how to add your GroupCalendar to the Sitemap.

Per default GroupCalendar tries to add the application to the "Sales" area.
If you do not have this Area, you can add the GroupCalendar manually, here is how to do that:

Navigate to: CRM > Settings > Customizations > Customize the System

Click on it and a new Window opens. Navigate further to Client Extensions > Site Map

Do a double click on it and the sitemap designer opens.

Select a Area (in grey row with arrow) and a Group (Column) where you want to add the GroupCalendar.

Mark the last entry (e.g. Powersearch).

Please note:
If there is no entry marked, you can not go to the next step!!

In the windows left side (corner on top) you can find the [Add]-Button.

Select "Subarea" in the Menue and a new entry next to PowerSearch appears.

Mark "New Subarea" and press the pencil to edit. Now the right side of the window changes.

Please enter the following parameters:

Type = Web Ressource

URL = ptm_WebApplicationPreloaderGroupCalendar

Title = GroupCalendar

Icon = ptm_Icon32x32_White.png

3. Save and publish your new SiteMap

Licensing Guide for Microsoft Dynamics 365

This blog article is intended to guide you through the usage of the License Manager for Dynamics 365. The License Manager allows you to manage your existing licenses and is part of the MSCRM-ADDONS installation.

There are two ways to get the License information:

1) The Web License Manager
The web license manager has been designed to facilitate the installation of license keys within Dynamics 365.

2) The Local License Manager
The local license manager is accessible as a standalone application or from the main configuration tool of the
addon.

1. The Web License Manager

Open your Dynamics 365 Settings, navigate to MSCRM-ADDONS-section and click on the addon you want to manage the license for e. g. ActivityTools.

The main configuration window provides you with a few tabs that allow you to configure your addon in general, in this example ActivityTools. Please navigate to the Licensing-tab (highlighted in yellow below).

Anyway, after the starting process, the window (see screenshot below) pops up:

Upgrading your license

To update or upgrade your license, you have two options:

1) Purchase a new license or an upgrade license directly in our online shop:

How to activate AAD TeamMember Licensing

The following step-by-step instruction shows you how to enable the TeamMember licensing for our add-ons. This makes sense for Dynamics 365 Online organizations which use "Microsoft Dynamics 365 Team Member" licenses.

Please also have a look at the corresponding blog article Licensing Guide for Microsoft Dynamics 365.

Open your Dynamics 365 Settings, navigate to MSCRM-ADDONS-section (highlighted in yellow) and select the add-on you want to activate the TeamMember Licensing for. This activation process has to be done for each add-on separately. Depending on which of our solutions you choose, the main configuration window will provide you with different tabs.

For example, if you select DocumentsCorePack, the main configuration window looks like in the figure below. To activate the TeamMember Licensing for DCP, please navigate to the License Server-tab.

❶ You have to click on the [Enable Team licensing]-button like you can see in the figure below.

❷ Next, this window pops up where you have to type in the username of a Dynamics 365 administrator like you can see below. Then hit the [Start]-button.

❸ A new window will open, where you have to sign in with an Office 365 admin account. Please note, that it could be possible that you first must disable your popup blocker for that. Then sign in and hit the [Next]-button.

❺ If the process was successful you will be linked to our website showing the information below.

❻After enabling successfully the TeamMember licensing, please go back to the license dialog and click on the [Enable]-button to finish the process.

❼ After activating, you will be provided with the window below, which shows you the license summary.

❶ The General license information shows you that your AAD TeamMember licensing is enabled.

❷ Licenses for TeamMembers shows the amount of Dynamics 365 TeamMember users and the Number of site licenses above shows you the amount of normal Dynamics 365 licenses reduced by the TeamMember users.

❸ Here you can edit your TeamMember licensing. By clicking this you will be provided with the window below, where you are able to Renew or Disable your TeamMember licensing.

ActivityTools, DocumentsCorePack ServerBased (DCP SB), PowerSearch and SmartBar

For these four solutions, there is a simple way to find the current version number: Open your Microsoft Dynamics 365 and navigate to Settings. When you go to Products, you´ll see these four solutions. Select the one you want and you will be provided with the Getting Started window, which contains the version number (see figure 1 - highlighted in yellow). The below example shows the ActivityTools version number, but this way also applies to DocumentsCorePack ServerBased, PowerSearch and SmartBar.

AttachmentExtractor

If you use the Online version, you don´t need to provide the version number because our support is well aware of it.

For the OnPremise version just follow the next steps. Please look for AttachmentExtractor Installation in the StartPanel.

Now the following window appears. It shows the AttachmentExtractor version number (highlighted in yellow) for Microsoft Dynamics 365.

DocumentsCorePack Client (DCP Client)

To verify the current DocumentsCorePack Client version number, start MS Word, navigate to the www.mscrm-addon.com-tab and click on the [DocumentsCorePack Settings]-button.

In the settings window select the About-tab, where the version number is displayed (see highlighted in yellow).

GroupCalendar

To verify the current GroupCalendar (GC) version number for Microsoft Dynamics 365, open GroupCalendar and click on Settings on the right side (see highlighted below in yellow). The version number is displayed in the window that opens now in the right upper corner (also highlighted in yellow).

TelephoneIntegration Server

To verify the current TelephoneIntegration Server (TI Server) version number, start Configuration – TelephoneIntegration Server for MS Dyn 365 from the StartPanel.

The following window appears. It shows the TI Server version number (highlighted in yellow) for MS Dyn 365.

TelephoneIntegration Client

To verify the current TelephoneIntegration Client (TI Client) version number, click on the TelephoneIntegration-icon in the taskbar:

This blog article outlines how to handle this error message when importing MSCRMADDONScomGeneralzip failed to import.

If you see this error message, please import the solution manually. To do so, follow the below steps:

1) Navigate to Settings in your Microsoft Dynamics 365 application and open the Solutions with a click on it.

2) Click on the [Import Solutions]-button in order to open the Select Solution Package-window.

3) The Select Solution Package-window opens. Click on the [Browse]-button and import your required solution.

After the manual import: Should you still receive an error message, please send a screenshot of that error message to our support team.

This year's eXtreme365 was really an eXtreme event. Open for partners and customers for the very first time in history, the event had more attendees than ever before. The atmosphere at eXtreme365 was perfect, which was not only due to the well selected 5-star location, but also to the excellent speakers and truly informative sessions.

There is no such town for an event like Lisbon - the picturesque, ever-changing and vibrant city reflects the spirit of Microsoft Dynamics 365 like no other.

When ordering licenses, you will be asked for the organisation unit name of your Microsoft Dynamics 365 (CRM) system. This information is mandatory in order to create a license. Below, you will find a short description on how to get the necessary information for Microsoft Dynamics 365 (CRM).

Open your system in your preferred browser and navigate to Settings > Customizations.

Next, open the Developer Resources.

Here, you will find the Unique Organisation Name.
Please note: Our key is case sensitive and does not work if the names do not fit.
