Per User Licensing limitations

For most of our products we do allow to either license all active users or only the subset of users that requires to use our solutions. This comes with certain limitations in functionality where usage of our Addon cannot be related back to a specific user.

This blog article explains the limitations and considerations you need to be aware of when purchasing a "per User" license.

DocumentsCorePack

Workflow capabilities disabled: This means that document automation inside Worfklows is not possible.

ActivityTools, SmartBar, PowerSearch: (Elements embedded into Entity - forms)

Form Element shows "no license" message: Users without a license will see a "license error" message instead of our AddOn. As this can take a severe amount of space on your form we do recommend to create separate forms for users with/without a license for our solutions.

Claim a DocumentsCorePack Template Designer (per User) license

This blog article outlines how you can claim yourself a DocumentsCorePack Template Designer (per User) License.

If you are using the DocumetnsCorePack Template Designer for DocumentsCorePack ServerBased or when you are using the DocumentsCorePack Client with a per user license you might come across the following message. With version 9.19 or higher of the client you have an additional option to get rid of this message.

The access denied message ❶ indicates that your user does not have a license applied. As long as the per User license count is higher than the system value number
you can claim a license to yourself you can use the "Claim License" button ❷ at the bottom right corner. This option is only visible if you actually have a per User lincense. For any other license type this option will not be available.

If the claiming process is successfull you will see a message like below. ❶
In case the claim attempt fails you will receive an error message. The message will contain details of what failed.

After that you will see an update license screen with the latest numbers update. ❶
To proceed simply click "Close" to end this dialog. ❷

How to activate per User Licensing in Dynamics 365

This article outlines how to activate a per User License in Dynamics 365 for ActivityTools, GroupCalendar, PowerSearch, SmartBar and TelephoneIntegration.

For DocumentsCorePack the first steps are the same. Please follow the link when you will be asked for.

When using “per User” licensing, it is mandatory to enable all users that should be licensed within Dynamics 365. Licenses for TelephoneIntegration are always per User. It is also possible to have per User licenses for ActivityTools, GroupCalendar, PowerSearch and SmartBar.
This example concerns the TelephoneIntegration license.

To check the license after installing via the License Manager please go to CRM->Settings->MSCRM-ADDONS-Tab.
Now choose the Addon you want to check the License for. In this case, we select TelephoneIntegration.

If you want to select DocumentsCorePack, please click here.

When the Get Started-page of TelephoneIntegration opens, please navigate to the Licensing-Tab. It often occurs, that after installing the license via the License Manager a window appears that looks like in the figure below:

After installing the new license, the ❶ access is denied. This is due to the fact, that the user, that is running the license manager (usually an admin) itself is not a licensed user at this point. Click on the ❷ [Activate Users]-button to enable specific users.

In the window below, you can select the users, that should be licensed within Dynamics 365.

After enabling users to use our addon, the red cross is gone, and the user account has changed due to the number of activated users. As you can see below, there are three of ten users enabled to use TelephoneIntegration.

How to activate a per User License in Dynamics 365 for DocumentsCorePack

Here we select DocumentsCorePack.

Licenses for DocumentsCorePack-ClientBased are usually per User.
It is also possible to have per User licenses for DocumentsCorePack_ServerBased (from Small to Enterprise package).

When the Get Started-page of DocumentsCorePack opens, please choose, if you want to activate Client license or Server license and go to the accordingly tab.
It often occurs, that after installing the license via the License Manager a window appears that looks like in the figure below:
