With this feature it allows you to set an association between the field in Agreement and the attribute of the entity in CRM.
After signing a document the values of the field of the CRM entity will be replaced with the predefined values of the user.

For example if you want to replace values of the fields Jobtitle and address1_city of contact entity.

First of all it is necessary to create a Data Mapping Template entity in CRM.

In your CRM environment navigate to Adobe Sign tab and then to Data Mapping:

Then click the NEW Icon:
In the opened form specify the name of DataMapping and select a target entity (in our case Contact):

The Template Explorer displays all DocumentsCorePack pack fields in a schematic tree view. This Feature is available in Version 9.37 and higher.

Figure 1: Template Explorer open on a sample template

The Template Explorer only works on DocumentsCorePack Templates. For merged documents or non DCP templates you will not be able to open the Template Explorer.
You can enable or disable the Template Explorer with the new ribbon button "Template Explorer" ❶ (Figure 2).

Figure 2: Template Explorer button in Ribbon

After enabling the Template Explorer a new task pane will appear on the left of your document. The Template Explorer will list all fields that are used in your document in a tree view.

Figure 3: Template Explorer task pane

Nested elements or tables will be displayed as sub-nodes of the tree view. An additional context menu allows you to directly interact with the field ❶ (Figure 4) and by hovering over the element a tooltip shows information about the field ❷ (Figure 4).

The context menu allows to directly open field properties, delete a field or context-specific actions like opening subtemplate.

At the bottom of the tree view you have 3 options additional options.

This feature requires at least version 9.25 of the client and version 2017.184 of the server or service. This functionality is disable by default. If you want to enable the versioning functionality you have to create a new settings key for DocumentsCorePack manually, like described here, with the following name and value:
Name: EnableTemplateVersioning
Value: true

If the setting as described above is enable you will see an additional button (1) int the menu bar. When you select a template and use this button

From this point on it is up to you how to proceed with this recovered file. Nothing has changed yet in the live template. If you want to go ahead and make the recovered template your new live template you have to overwrite the existing template with this recovered template.

PLEASE NOTE:
- Template versions are not imported or exported with the DocumentsCorePack import/export functionality. Only the latest live version will be exported.
- The limit of versions is set to 25 by default. To decrease or increase this limit you can set a settingskey manually with the name "TemplateVersioninglimit", and the amount of records as value. When setting its value to "0" the limit is disabled and unlimited copies will be stored (not recommended!).
You can add a certain amount of time to an existing date, or you can calculate the difference between two given dates. The following step by step description will show you how to insert a field of this type into your template.

We are glad to introduce the DateTime field with the DocumentsCorePack Client version 9.22 and DocumentsCorePack Server version 2017.174.

Step by step description
This description outlines how to add a DateTime field into a DCP template by using the given insert options.

Preparation
This feature can only be used within DCP templates, so please open your existing template or create a new one before using this feature. (Here is a blog that explains how to create a new template)

Step 1 - Open the [Insert fields] dialog
After you successfully opened your template we can start to take a closer look at the modified Insert dialog. So please open the [insert fields]-button and navigate to the “Computed items”-Section ❶.

Within that section, you should be able to spot the new [DateTime Field]-button ❷.

If you are not familiar with the [Insert Field]-button you can start your research here.

Step 2 - The DateTime field dialog
Please click on the [DateTime Field]-Button to open up the DateTime dialog.
This Dialog gives you the possibility to specify your DateTime field based on the given options.

Step 3 - build your calculation
Add your DateTime calculation to the pattern field.
The syntax for this field is described here.
In our Case, we will add 5 days to the due date of a Quote.

PLEASE NOTE: The layout of the dialog will change dependent on your used syntax.

You have the option to insert any field even if it is not a DateTime field. Please do this at your own risk.

Figure 3: DateTime Field Syntax

Step 4 - add a placeholder text [optional]
Setup a placeholder text.
You can set a placeholder name ❶ for your field so you find it easier in case you have to modify your template in the future.

Figure 4: Placeholder

Step 5 - add formatting options
Since we have our Syntax configured we would like to define a format.
This could be done by selecting one of the given options in the Unit Type or the Format and Culture Dropdown.

The dialog provides us with different options for “DateTime“ ❶ and “Difference” ❷ (subtraction of 2 dates) results.

Based on this type we will have one of the two following dialogs.

Figure 5: Different options based on the selected syntax

Step 6 - insert the field
Now we have successfully defined our DateTime-field and by clicking on [ok] it will be inserted into the Document.

Figure 6: Finished Template

Step 7 - save the template
The last and final step is to save your template.
Before you can use or test your template you have to save it.
Either you save your template locally with the standard Save or Save as functionality of Word or you use the Save template-option of the DocumentsCorePack client in order to publish the template to Dynamics 365.

Test your template [optional]
As you have made changes to your template you might want to test them quickly.

A step by step description of how to test your template can be found here.

With the in-person signing, a host facilitates an Adobe Sign session. The host must be an Adobe Sign account holder and the signers are only required to be with the host in order to sign documents.

In this example, we create a document and use therefore a template which contains one signer. The result can look like in the figure below:

Figure 1: Example: Adobe Sign in-person signing in DCP

Therefore follow the steps below:

Step 1: Create document via DCP Dialog
First, open your Dynamics 365 and search the entity you want to create a document for – in this example Work Order. Next, please hit the [CREATE DOCUMENT]-button which opens the DocumentsCorePack Dialog as you can see below.

Figure 2: DCP Dialog – select template

Here, please select the template you want to execute – in this case WorkOrder_Template.docx.

Step 2: Define how your document should be executed
In this example, we want the document to be attached, so please check the Attach document checkbox and select as Adobe Sign email from the drop-down menu. Check the In-person signing checkbox and your recipient and the e-mail address from the drop-down menu.

Please note: The recipient should be the person (the host - explained at the beginning) who is required to be with the signer in order to sign the document. Click on [Next] to continue.

Benefit from this combination and take the usability of Microsoft Dynamics 365 to a whole new level. Adobe Sign is another tool that simplifies the world of e-signatures. It empowers you to electronically sign documents. More information can be found in the corresponding documentation on our website.

This blog article outlines how to get started with Adobe Sign as an additional feature of DocumentsCorePack. If you decided to use Adobe Sign as an additional feature, please follow the steps in this blog article:

Step 1: Obtain the AdobeSign package
For Microsoft Dynamics 365 Online: on AppSource
For Microsoft OnPremises: from the Adobe Sign Integration page

Step 2: Install the Adobe Sign package
The installation of Adobe Sign is very easy, please follow the Installation Guide written by Adobe.

Step 3: Adobe Sign Users and Security Roles
For using the Adobe Sign application, it is necessary that users have their security role configured to the Dynamics environment. The available security roles are:

Adobe Sign Reader
Users have read-only access to Agreement records.

ADOBE SIGN USER
Users are able to see only their own records and have User level access to built-in Dynamics records such as Contacts, Accounts, Leads, Opportunities, Orders etc.

ADOBE SIGN ADMINISTRATOR
This role includes additional privileges in addition to the Adobe Sign User role such as adjusting Global Settings, Data Migration and allowing visibility over all Agreements throughout the application.

Find more information about how to configure the security roles in the Adobe Installation Guide in chapter Post Install Configuration (Required) and scroll down to Deploy Adobe Sign to Users by Assigning Security Roles.

Step 4: DocumentsCorePack templates for Adobe Sign
After you have configured the security roles for Adobe Sign users in Microsoft Dynamics 365, and you have made sure that they have all the rights they need, you can create a DocumentsCorePack template for AdobeSign.

Please find all the information about how to use the Template Designer in the Template Designer User Guide on our website.

To use Adobe Sign in DocumentsCorePack you have to enter Adobe Sign text tags. These are formatted text that can be placed anywhere within the content of your template. Text tags are converted into Adobe Sign form fields when the document is sent for signature or uploaded.

Please find all possible Adobe Sign text tags in the Adobe Sign Text Tag Guide.

The figure below shows a template with Adobe text tags for initials and signatures for two signees.

This might be needed as the Quote Product inherits the name of the parent product. Here you can see a simplified illustration of the structure in CRM:
Figure 1: Structure of a Quote-Product relationship in Dynamics 365

To get the values for the product we first need to resolve the relationship from Quote to Quote Line (Quote Product) and select the desired fields. This is a 1<g class="gr_ gr_39 gr-alert gr_gramm gr_inline_cards gr_run_anim Style replaceWithoutSep" id="39" data-gr-id="39">:N</g> (one to many) <g class="gr_ gr_32 gr-alert gr_gramm gr_inline_cards gr_run_anim Grammar multiReplace" id="32" data-gr-id="32">relationship</g>.
Figure 2: Quote to Quote Line <g class="gr_ gr_35 gr-alert gr_spell gr_inline_cards gr_run_anim ContextualSpelling ins-del multiReplace" id="35" data-gr-id="35">realtionship</g> 1<g class="gr_ gr_36 gr-alert gr_gramm gr_inline_cards gr_run_anim Style replaceWithoutSep" id="36" data-gr-id="36">:N</g>

Once this is done, we need to add another layer to the relationship by clicking on the [Add]-button, this will open a second dialog as you can see below.
Figure 3: Add another layer to the relationship

Now we create the second layer of the relationship form Quote Line to Product and select the desired fields like you can see below. This is <g class="gr_ gr_29 gr-alert gr_gramm gr_inline_cards gr_run_anim Grammar multiReplace" id="29" data-gr-id="29">a </g><g class="gr_ gr_29 gr-alert gr_gramm gr_inline_cards gr_disable_anim_appear Grammar multiReplace" id="29" data-gr-id="29">N</g>:1 (many to one) <g class="gr_ gr_30 gr-alert gr_gramm gr_inline_cards gr_run_anim Grammar multiReplace" id="30" data-gr-id="30">relationship</g>.
Figure 4: Quote Line to Product relationship N:1

Afterward, we need to click on the [OK]-button on every dialog that has been opened during building the relationship. So the new created Multilevel-Relationship has been saved and can be used to build a DCP table.

That’s it! We appreciate your feedback! This blog article outlines:

How to enable file-based formatting with DCP

How to define a word style for a single DCP field

How to enable file-based formatting with DCP

When you want to insert complex HTML codes or want to provide special formatting, you can use the following step-by-step instruction to achieve that.

1) Make sure your HTML code is valid and in a ready to use format within Dynamics 365.

This gives you the possibility to define complex formats in your HTML code. To provide a coherent look and feel of the Template, you can mix it with your Word formats - just define a style within the Content Control properties. To do so, please follow the next steps:

How to enable field-based formatting with DCP

The Condition field property allows you to define dynamic content that is either displayed or removed from the final document based on a certain condition.

This step-by-step description will show you how to set conditions in DocumentsCorePack Template Designer. In this example, we want to create a quote and choose between Mr and Ms depending on the gender of the recipient.

Step 1: Create a quote template
First, we need to create the basic layout of the template. Clicking on the [Insert MailMerge Fields]-button in the www.mscrm-addons.com command bar will open the DocumentsCorePack Designer on the right side. More information about how to create DocumentsCorePack templates can be found here.

The figure below shows an example template of a quote.

Figure 1: Quote Template

Step 2: Use the Condition field option
After creating your template, please set the cursor at the position where you would like to insert a condition field. In our example, we want to set the condition in the subject line after "Dear" choosing between Mr and Ms based on the recipient like you can see highlighted in yellow in the figure above. Then, go to Insert Computed Item and select Condition field.

Step 3: Configure the setup of your condition fields

Figure 3: Configure your condition

❶ Give your condition a descriptive name. It makes it easy to re-use existing conditions in a template.

❷ Enable the creation of an else block and define the layout of the inserted condition fields - in this case next to each other.

❸ Use the condition designer to create your condition. In this example, we want to create the condition for the entity "Primary Contact (Contact)". We want our condition to choose between Mr and Ms depending on the gender of the recipient. Therefore we select in the first drop-down menu the field Gender and as operator equals. Depending on the data type of the field you either have an additional control that opens a new dialog to select the compare value - in this case, Male.

A more detailed description of the condition designer can be found here.

Below you can see placeholders for the formatting options next to each other. Because you selected to insert an "ELSE" block you have the second placeholder like you can see in the figure below.

Figure 4: Appearance of the fields in the template

Step 3: Set your custom text block
Within these placeholders, you can now enter the content of your conditions. In this example, IF Gender equals to Male it should display "Mr" and ELSE "Ms".

Step 4: Save your template
Before you can use or test your template you have to save it. Either you save your template locally with the standard Save or Save as the functionality of Word or you use the Save template-option of the DocumentsCorePack client in order to publish the template to Dynamics 365.

Step 5: Test your template
As you have made changes to your template you might want to test them quickly. A step by step description of how to test your template can be found here. Below you can see the result of your created template containing the condition we set, highlighted in yellow.
This feature gives you the possibility to insert page breaks after every grouping section. For more information about how to group tables in DCP (.docx) templates, please have a look at this article here.

Please notice: This feature is only available for Dynamics 365.

After grouping your table by the field you want to define the grouping for (in this case, <g class="gr_ gr_23 gr-alert gr_spell gr_inline_cards gr_run_anim ContextualSpelling ins-del multiReplace" id="23" data-gr-id="23">jobtitle</g>), navigate to www.mscrm-addons.com and choose ❶ Table properties. In the so opened window, you have to select the second check box, that says ❷ "Insert Page break after each grouping header".

This blog article covers the configuration, an example and the technical details of this feature.

The configuration options allow template editors to define

Recipient

Regarding

Save Location

of activities based on a template independently. For further information on DocumentsCorePack Template Designer, please have a look at the documentation.

Configuration

The configuration requires a proper configuration of the DocumentsCorePack Server and you need to understand the fundamental MS Dynamics 365 (CRM) capabilities.

To access the Advanced Settings, open an existing template or generate a new one. Then navigate to www.mscrm-addons.com ❶, click on the [Insert MailMerge Fields]-button ❷, open the Advanced Template Settings ❸ and click on CreateActivitiesFor ❹.

Please note: Per default, only the "Recipient"-tab is displayed. You have to check the "Enable Advanced Settings"-checkbox (highlighted in red), if you want all three tabs to be shown.

The configuration is set for an Account Template and has the following effects:

The Recipient of the generated activity will be the primary contact of the parent account of the Account Template.

The Regarding will be set to the Account directly.

And the generated document will be saved to the configured location for the parent account of the Account Template.

The example below shows the outcome of the configuration for this Account Template in more in detail.

Example

The account mscrm-addons.com Corp ❶ with the parent account ptm EDV-Systeme ❷ has a primary contact named Michael Dohr ❸.

Figure 3: Example

After saving this template, you can continue to create a document, either directly from Word by using the [Select Data]-button or by using the [Print in Word]-button within CRM. Once done so, you get a merged document.

In case of further document processing, you can use the [CreateCRMActivity]-button and e.g. generate a letter activity ❶ and add the document to your SharePoint ❷.
This process saves our generated document in the folder of the account (ptm EDV-Systeme) and defines the regarding to the account(mscrm-addons.com Corp).
The recipient is the primary contact of the parent account of the account (Michael Dohr).

Technical details

The third option (Save Location) also works for DocumentsCorePack ServerBased.

The option to define the Regarding and the Recipient are not available in DocumentsCorePack ServerBased as they can be set directly within the workflow.

The options effect the Create Activity-, the Save as...- as well as the Send as PDF-functionality of the DocumentsCorePack Client.

The outcome when selecting the Create Activity-functionality is described in the above example.

The outcome when selecting the Send as PDF-functionality is the same.

When you select the Save as...-functionality, the recipient and the regarding-property are ignored. It only saves the generated document to the proper location that is configured with the DocumentsCorePack Server Configuration.

That’s it! We appreciate your feedback!
