Recap: eXtreme365 & UG Summit in Orlando

In mid-October, we had the opportunity to be part of the eXtreme365 and the UG Summit in Orlando, Florida.Both events exceeded all of our expectations. Thank you for giving us your precious time and attention! It was a great pleasure meeting you at our booth.

The week started with extreme365 with a lot of great content from Microsoft and partners. It offered us the opportunity to shape future strategies and was a high-energy event where we could gain a deep-dive understanding of Microsoft´s roadmap, expert community insight on overcoming real-world challenges and exceptional relationship building. The value of eXtreme365 is entdless, which was due to the excellent speakers and truly informative sessions. The event was amazing and full of great people.

Followed by User Group Summit with crowds of people, great exhibitors and a lot of new contacts and customer meetings. Amazing keynote speakers, small group sessions, gripping speeches and lots of networking opportunities converted this event into a Microsoft Dynamics 365 festival. All in one we had great sessions and learned great Dynamics people!

Per User Licensing limitations

For most of our products we do allow to either license all active users or only the subset of users that requires to use our solutions. This comes with certain limitations in functionality where usage of our Addon cannot be related back to a specific user.

This blog article explains the limitations and considerations you need to be aware of when purchasing a "per User" license.

DocumentsCorePack

Workflow capabilities disabled: This means that document automation inside Worfklows is not possible.

ActivityTools, SmartBar, PowerSearch: (Elements embedded into Entity - forms)

Form Element shows "no license" message: Users without a license will see a "license error" message instead of our AddOn. As this can take a severe amount of space on your form we do recommend to create separate forms for users with/without a license for our solutions.

How licenses are counted

This blog article outlines how licenses are counted in our system. The counting mechanism varies depending on the type of license being used. We differentiate here between two types of licenses – the Normal licenses and the TeamMember licenses. Below are the two different license types and a description of how the count works for each. You will also find a description on where to find information about your counted licenses.

❶ Normal licenses
For the required licenses, all users that are activated and have as Access Mode “Read-Write” in Dynamics 365, are counted. Users with “Administrative” as Access Mode are not counted.

There is the possibility to count only users with a security role for licensing. Important: We are counting user licensing assigned to the user directly or via team membership. To activate this feature the only thing you need to do is to create a new settingsKey for AutoMerge called “CountUsersWithSecurityRolesOnly” with value “true” as you can see in the figure below. More information about how to create settingsKeys can be found here.

Additionally, there are users who have app access security roles as you can see highlighted in the figure below. App access security roles are predefined roles by Microsoft and are automatically assigned to users. These security roles will not be counted by DCP until you modify them.

❷ TeamMember licenses
If you have TeamMember licenses, please notice that these are counted different. TeamMember are assigned to specific license groups in Azure Active Directory and only two types are counted – the “DYN365_ENTERPRISE_TEAM_MEMBERS" and the "DYN365_TEAM_MEMBERS".

Where to find information about counted licenses?
Sometimes it may be unclear how we count the amount of relevant Dynamics 365 users for licensing. In order to show which Dynamics 365 users are counted, we have included the "User Count Info" overview. It can be accessed via the Web License Manager (Dynamics 365 > Settings > MSCRM-ADDONS area > DocumnetsCorePack (or any other addon).

In the configuration window, please navigate to the ❶ Licensing server-tab. Here you can see the number of site licenses - in this case ❷ 22 users. For detailed information please hit the ❸ [User Count info]-button at the bottom (required “MSCRM-ADDONS.com General” solution version 2017.53 or 2018.53).

For DocumentsCorePack Online services you can access via the Service Configuration as well. Click on the [View & Install license]-button and navigate to Users as you can see in the figure below. No matter which way you choose this will open the User count info overview.

In the so openend window, you can see four sections:

Summary: Displays basic information as you can see in the figure above
Full licenses Users: Provides you with a list of all users which require a full license
Licensing Relevant Roles: If a user has assigned such a security role, he is counted for licensing
Licensing Unrelevant Roles: These are automatically assigned app access roles. If a user has these roles assigned only, he is not counted for licensing

Open the Full licenses Users by hitting the plus symbol on the left side. Here you can use the search box to look for specific users by their “User Name”. Hit on “Click to see the Roles” on the right side in order to see the relevant roles assigned to that user. “(User)” means the role is directly assigned, “(Team)” means the role is assigned to a team that user is a member of.

Via the Web License Manager, you also have the possibility to download the whole overview by hitting the [Download]-button at the bottom (e.g. to send it to our support).

How to save a document to SharePoint with DocumentsCorePack

This blog article outlines how to save a document to SharePoint with DocumentsCorePack. This step-by-step tutorial shows you how to connect SharePoint with Microsoft Dynamics 365 and how to create SharePoint folders automatically.

PREREQUISITES:
1. Make sure to integrate SharePoint with Dynamics 365:
This section outlines how to integrate SharePoint with Dynamics 365. It is valid for CRM 2013 and higher.

Step 1: Please open the Document Management Settings. To do so, please navigate to Settings > Document Management and select the Document Management Settings, highlighted in yellow in the figure below.

Step 2: Select the entities you want to create SharePoint folders for and enter a SharePoint site. This site will be used as the default site for document management.

Step 3: Simply follow the instructions in the next window in order to create a folder structure based on a certain entity and click on the [Next]-button to proceed.

Step 4: The next window provides you with the document library creation status and details. Click on the [Finish]-button in order to finish the setup.

2. Make sure to activate SharePoint on DocumentsCorePack:

ONPREMISE:
Open the Dynamics 365 Settings > DocumentsCorePack > General Settings and make sure that a SharePoint user is specified.

In the DocumentsCorePack Server configuration make sure SharePoint is activated as you can see in the figure below.

ONLINE:
In the service, configuration please activate SharePoint and specify a SharePoint user as you can see in the figure below.

In workflows, in the “MSCRM-ADDONS AutoMergeWorkingItem” set the “Save Only Into Temp” to “NO”.

How to add GroupCalendar to the Sitemap

This article outlines how to add your GroupCalendar to the Sitemap.

Per default GroupCalendar tries to add the application to the "Sales" area.
If you do not have this Area, you can add the GroupCalendar manually, here is how to do that:

Navigate to: CRM > Settings > Customizations > Customize the System

Click on it and a new Window opens. Navigate further to Client Extensions > Site Map

Do a double click on it and the sitemap designer opens.

Select a Area (in grey row with arrow) and a Group (Column) where you want to add the GroupCalendar.

Mark the last entry (e.g. Powersearch).

Please note:
If there is no entry marked, you can not go to the next step!!

In the windows left side (corner on top) you can find the [Add]-Button.

Select "Subarea" in the Menue and a new entry next to PowerSearch appears.

Mark "New Subarea" and press the pencil to edit. Now the right side of the window changes.

Please enter the following parameters:

Type = Web Ressource

URL = ptm_WebApplicationPreloaderGroupCalendar

Title = GroupCalendar

Icon = ptm_Icon32x32_White.png

3. Save and publish your new SiteMap

This blog article outlines how to check the installation status on Microsoft AppSource. For example, if you started the installation of GroupCalendar form Microsoft AppSource. At a later time, you want to check if the installation is completed or if there were any problems. This article explains how this can be done.

First, go to the Microsoft 365 Admin Center. Within Dynamics 365 hit on ❶ "Navigate to other applications" and hit ❷ "Admin".

Next, please navigate within Microsoft 365 admin center to the section "Admin centers" as you can see below.

In the so opened management console select the correct ❶ organization and hit on ❷"Solutions".

Next, please select the product for which you want to get more information - in this case, GroupCalendar.

How to activate per User Licensing in Dynamics 365

This article outlines how to activate a per User License in Dynamics 365 for ActivityTools, GroupCalendar, PowerSearch, SmartBar and TelephoneIntegration.

For DocumentsCorePack the first steps are the same. Please follow the link when you will be asked for.

When using “per User” licensing, it is mandatory to enable all users that should be licensed within Dynamics 365. Licenses for TelephoneIntegration are always per User. It is also possible to have per User licenses for ActivityTools, GroupCalendar, PowerSearch and SmartBar.
This example concerns the TelephoneIntegration license.

To check the license after installing via the License Manager please go to CRM->Settings->MSCRM-ADDONS-Tab.
Now choose the Addon you want to check the License for. In this case, we select TelephoneIntegration.

If you want to select DocumentsCorePack, please click here.

When the Get Started-page of TelephoneIntegration opens, please navigate to the Licensing-Tab. It often occurs, that after installing the license via the License Manager a window appears that looks like in the figure below:

After installing the new license, the ❶ access is denied. This is due to the fact, that the user, that is running the license manager (usually an admin) itself is not a licensed user at this point. Click on the ❷ [Activate Users]-button to enable specific users.

In the window below, you can select the users, that should be licensed within Dynamics 365.

After enabling users to use our addon, the red cross is gone, and the user account has changed due to the number of activated users. As you can see below, there are three of ten users enabled to use TelephoneIntegration.

How to activate a per User License in Dynamics 365 for DocumentsCorePack

Here we select DocumentsCorePack.

Licenses for DocumentsCorePack-ClientBased are usually per User.
It is also possible to have per User licenses for DocumentsCorePack_ServerBased (from Small to Enterprise package).

When the Get Started-page of DocumentsCorePack opens, please choose, if you want to activate Client license or Server license and go to the accordingly tab.
It often occurs, that after installing the license via the License Manager a window appears that looks like in the figure below:

Add Config SiteMap entries manually

This blog article outlines how to manually add SiteMap entries linking to our product config pages.

After installing our products you normally get an entry for our product entity "Products" and an entry for each of our products linking to its configuration page. By default, these entries can be found in Dynamics 365 under Settings as you can see in the figure below.

In the SiteMap Designer please select the SiteMap entry you want to customize - in this case, ❶ Settings. Next, hit the ❷ [Add]-button and select ❸ Group.

Arrange your Subarea by setting the values below:
❶ Type = Entity
❷ Entity = MSCRM-ADDONS.com Products
❸ Title = Products

As explained before, please add another Subarea and set the values below:

DocumentsCorePack:

❶ Type = Web Ressource
❷ URL = AutoMergeConfig (ptm_AutoMerge/AutoMergeConfig.html)
❸ Title = DocumentsCorePack
❹ Icon = ptm_Icon32x32_White.png

Now you can see your first product in the MSCRM-ADDONS area - in this case DocumentsCorePack. This process is the same for all our other products.

Below please find the right values for each product. As Type always please select Web Resource and the Icon value is always the same: Icon = ptm_Icon32x32_White.png

Licensing Guide for Microsoft Dynamics 365

This blog article is intended to guide you through the usage of the License Manager for Dynamics 365. The License Manager allows you to manage your existing licenses and is part of the MSCRM-ADDONS installation.

There are two ways to get the License information:

1) The Web License Manager
The web license manager has been designed to facilitate the installation of license keys within Dynamics 365.

2) The Local License Manager
The local license manager is accessible as a standalone application or from the main configuration tool of the
addon.

1. The Web License Manager

Open your Dynamics 365 Settings, navigate to MSCRM-ADDONS-section and click on the addon you want to manage the license for e. g. ActivityTools.

The main configuration window provides you with a few tabs that allow you to configure your addon in general, in this example ActivityTools. Please navigate to the Licensing-tab (highlighted in yellow below).

Anyway, after the starting process, the window (see screenshot below) pops up:

Upgrading your license

To update or upgrade your license, you have two options:

1) Purchase a new license or an upgrade license directly in our online shop:

GroupCalendar Online 2015 Update

It has been a while since the last GroupCalendar Online update. We have now added a few improvements that require your attention. Many of our customers are still on the GroupCalendar 2013 instances which are not up to date anymore. To benefit from the new improvements and features of the GroupCalendar 2015 version, we would need you to perform a simple task for us.

What can you expect from the update?

1. Performance: There were a lot of performance improvements since the last version. We’re constantly trying to improve the performance so our customers don’t lose too much time during scheduling.

2. Multiple data centers: GroupCalendar is available in more datacenters than before. After you’re done with the steps described below, it will be possible for us to move your installation without interruption to the latest release version. We’ll decide to which datacenter you’ll be moved to get the best performance available. I.e., it doesn’t make sense that when your CRM is located in Europe and connecets to a GroupCalendar instance hosted in the US.

3. New features: In addition to the performance improvements, we have also implemented a few other features you might be interested in.

Auto-Refresh: Whenever someone updates or creates a new activity within CRM, the GroupCalendar will automatically refresh its view. Each user will always have an up-to-date overview of the scheduled activities.
Quick previous/next navigation: The TopDown and Agenda view now have a separate navigation option to quickly navigate to the previous or next day/week/month. There is no need to open the right navigation pane to switch days/weeks/months.
Improved week number calculation: The calculation of the week numbers did not work in some special cases.
Performance Counters: In case you run into any performance issues, even with the performance-optimized version, we have added performance counters to see what exactly is slowing down GroupCalendar.

How to get the new features and improvments?

You need to prepare your system with the latest MSCRM-Addons.com Solutions so we’re able to move your installation to an up to date instance. This step could be quickly done by a CRM administrator. Please download these three files:

After that, please navigate within your CRM to Settings > Solutions.

Please import all three solutions in the above order.

If you want to use the auto-refresh feature, you have to assign all users the security role MSCRM-ADDONS.com GCAutoUpdate after you have imported all the solutions.

How long will it take to get the update?

We’ll periodically check if your CRM system was prepared with the above steps and if so, we will perform all necessary steps.

After we have applied all steps to GroupCalendar, your CRM connects automatically within 7 days to the new Group Calendar instance.

It could happen that some users will see the update earlier than others.

Post-upgrade Steps for GroupCalendar Online

This article outlines the upgrade steps for GroupCalendar Online for MS CRM 2015. Please note: It only applies to GroupCalendar online!

Requirements: GroupCalendar (GC) Online for MS CRM 2015

After the upgrade of GroupCalendar to CRM 2015, it is highly recommended to perform the following steps to ensure full compatibility.

Please download the following CRM Solutions
- MSCRMADDONScomGeneral.zip (447.98 kb)
- GroupCalendarServerCore.zip (7.40 kb)
To install the solutions, please open your CRM and navigate to Settings > Solutions.

In the All Solutions section, click on the [Import]-button in order to proceed and import them into your CRM system.

Follow the steps in the wizard to import the solutions. Please note: It is very important to upload the solutions in the order displayed in step 1.
After all solutions have been updated, please clear your Browser Cache and the Cookies. To do this, hit [CTRL]+[SHIFT]+[DEL] (works in every browser) and select the option that the Cache and Cookies should be deleted.

How to add GroupCalendar to a specific ribbon location?

This blog article explains how to add GroupCalendar to a specific ribbon location with XRM Tools.

Requirements: GroupCalendar for MS CRM

Please note: Make sure that you run the XRM Tools as administrator!

1) Connect with your CRM-system.

2) Select the SiteMap Editor

3) Now, click on the [Load Sitemap]-button in order to load your current CRM Sitemap.

4) In the next window, select the location where you want to store GroupCalendar in your CRM ribbon.

5) Next, select the ptm-WebApplicationPreloaderGroupCalendar webresource.

Once selected, please add the titles shown in figure 6, 7 and 8.

6) Now all you have to do is to click on the [SiteMap]-button and to refresh your Browser in order to see the changes in CRM.

How to install GroupCalendar for MS CRM Online

This blog article outlines how to install GroupCalendar for MS CRM Online.

Requirements: GroupCalendar for MS CRM Online

If you have purchased GroupCalendar, please follow the instructions below. Please note: after everything is set up and running DO NOT disable the user!

How to install GroupCalendar via AppSource

1) To open AppSource, navigate to https://appsource.microsoft.com/en-us/.

2) Please look for GroupCalendar in the Search field and click on the [Try]-button in the Group Calendar result box.

3) Agree to the Group Calendars terms and conditions and click on the [Continue]-button.

4) You will be asked to sign in to Microsoft AppSource.

5) Once logged in, please add the application by agreeing to the terms and conditions and clicking on the
[I Agree]-button if you want to proceed.

You are redirected to the CRM Online Administration panel. Here, you get an overview of all your installations.

Please note: Because the CRM Online Administration panel does not refresh itself automatically, you have to refresh the window from time to time.

However, as soon as GroupCalendar installed, its status will be changed to Installed (see figure 7).

Now open CRM Online and click on Workplace > MyWork > GroupCalendar. The so opened window provides you with the information required to activate GroupCalendar.

Please follow the steps displayed in Figure 10 (Open the CRM Settings > MSCRM-ADDONS > GroupCalendar).
You are then provided with the GroupCalendar Getting Started surface. Please scroll down to the GroupCalendar Trial Request
section and enter your credentials there.

As soon as you have finished, click on the [Register]-button and you will receive your 30-days trial version.

Additionally, you could also change the CRM access role in the office 365 portal. (this is optional).
To do so, simply click on roles and change the settings.

If you have decided to change the roles, you must also change the user settings as shown in figure 11.

Please note: Make sure that the user possesses the following roles:
- mscrm-addons general security role
- MSCRMAddonsAzureService
- MSCRM-ADDONS.com GCAutoUpdate

Please open the GroupCalendar Service User (Settings > Administration > Users) and set the MSCRMAddons service user to non-interactive access mode (to do so, please follow this blog article).
If the user is still counted by CRM dynamics licensing after being set to non-interactive, simply remove the CRM license from this user in the Office 365 Portal.

Now once again, open GroupCalendar in CRM (Workplace > My Work) and verify that everything works fine.

After we have finished upgrading your GroupCalendar to CRM 2013, it is highly recommended to perform the following steps to ensure full compatibility.

Please download the following CRM Solutions and import them into your CRM system in the following order
- MSCRMADDONScomGeneral.zip (460.43 kb)
- GroupCalendarServerCore.zip (6.19 kb)
To install the solutions, please open your CRM and navigate to Settings –> Solutions and click on “Import”

Select the files in the above order and follow the steps in the wizard to import the solutions.
After all solutions have been updated, please clear the browser cache and the cookies. To do this, hit CTRL+SHIFT+DEL (works in all browsers) and select that the cache and cookies should be deleted.

This article will show you how to prepare GroupCalendar on-premise and online for MS CRM 2011 for an update of your CRM system to 2013!

First of all, make sure that you have a valid addon-license for MS CRM 2013. NOTE: your actual GroupCalendar for MS CRM 2011 license is not valid for 2013. If you have a valid support contract, then you can order a new CRM 2013 license for free. For more information please contact our support-team

1) What to do before you upgrade your MS CRM system to 2013
IMPORTANT: in order to upgrade GroupCalendar on-premise for MS CRM 2011 to 2013, the current GroupCalendar version has to be 5.61 or higher! You can download and install the latest version from our download area at www.mscrm-addons.com.

To verify the current GroupCalendar version, start “Configuration – GroupCalendar for MS CRM 2011” from the start menu.

2) Now you are ready to upgrade your MS CRM system to 2013
Once you have finished upgrading MS CRM 2011 to MS CRM 2013 you have to download the latest GroupCalendar for MS CRM 2013 version. With the installation of GroupCalendar for MS CRM 2013 the addon is updated automatically and ready to use for MS CRM 2013. All your settings are of course the same as before! For more information please read our GroupCalendar Installation Guide.

3. Install the new license for GroupCalendar on premise and IFD
The GroucCalendar on premise and IFD for MS CRM 2013 need a new license. Please contact support@mscrm-addons.com to get your new license and install it with the LicenseManager.

4. How to upgrade GroupCalendar online for MS CRM 2011 to 2013
Before you upgrade your MS CRM system to 2013, please consider following:

As soon as you have scheduled an appointment with Microsoft regarding the upgrade, please contact our support team and let us know. We will prepare the proper Windows Azure Server. After you have been successfully upgraded, please contact us so that we can upgrade your GroupCalendar to the CRM 2013 version. All your settings are of course the same as before.

How to change the default pinned/unpinned status of the GroupCalendar side pane

The GroupCalendar side pane (which holds the view settings etc.) is per default unpinned. With a manual user-based setting it is possible to change the default behavior so that the GroupCalendar is opened with a pinned side pane.

To do so, please open the Advanced Find.

Select the entity MSCRM-ADDONS.com User/Temp Settings.

Then click on Results. From there, you have the option New MSCRM-ADDONS.com User/Temp Settings.

In this dialog, you can create a new user/temp setting. Please make sure that the NAME is OverviewPinned_[USERGUID].

[USERGUID] is the unique user ID of the CRM user for which you are configuring this setting. The GUID must entered without the brackets, i.e. OverviewPinned_0a19dcc6-b470-e011-b77f-00155dc8ae09

The VALUE could be either true (for pinned) or false (for unpinned).

Features and settings in TOPDOWN view for GroupCalendar

This article outlines the features of TOPDOWN view, which are available for GroupCalendar (GC) version 5.55 and higher (click here to download the latest GC version).
En detail, this article explains, how you:

Change the user and time, by drag and drop
Create and save an appointment directly in CRM, by double-click into the selected time-slot
Delete activities directly
See all details of activities (multiple row able)
Create an activity by just clicking right into your selected time-slot
Right-click into your activities to open, delete or copy them
Change between the views show 24 hours and show business hours. Business hours-view is preset from 08:00-17:00 and also configurable.
Determine how many minutes a time-slot should have (in general 30 min.

1. In TOPDOWN view, you are able to change your activities by drag and drop. This means, that you just have to select your activity, and then you are able to drag and drop it down to another time and user. You may as well change the user of your activities by drag and drop.

2. As you can see in Figure 1, you just have to doubleclick into the time-slot for which you want to create and save an appointment in CRM. This gives you the chance to create an appointment with a single double-click.

3. With a click on the [Delete]-button, you can delete your activity.

You will be asked again, if you're sure to delete your activity. When you click on the [OK]-button, your activity will be deleted.

4. TOPDOWN view, enables the multiple-row view of your activities. Read more about the settings here.

5. To create an activity, you just have to right-click into the time-slot in which you would like to create your activity.

You can also define the time of your activity. Simply click into the time-slot, where you would like to start your activity and drag (depending on the length of the activity) it down, then click right. Now you are able to create a new activity.

6. If you like to open, copy or delete your activity, you only have to right-click into your activity. Afterwards, you can select between copy, open or delete.

In TOPDOWN view, you are also able to configure the hours-view. You can select between show 24 hours and show business hours. When you select show 24 hours, then you will see the whole day from 00:00 to 24:00 o’clock. When you select show business hours in general, you will be provided with a business day from 08:00 to 17:00 o’clock. 8. You can also determine how many minutes a time-slot should have.
In general, every time-slot is preset on 30 minutes.
If you would like to chance this, you have to create a new setting.
