Recap: eXtreme365 & UG Summit in Orlando

In mid-October, we had the opportunity to be part of the eXtreme365 and the UG Summit in Orlando, Florida.Both events exceeded all of our expectations. Thank you for giving us your precious time and attention! It was a great pleasure meeting you at our booth.

The week started with extreme365 with a lot of great content from Microsoft and partners. It offered us the opportunity to shape future strategies and was a high-energy event where we could gain a deep-dive understanding of Microsoft´s roadmap, expert community insight on overcoming real-world challenges and exceptional relationship building. The value of eXtreme365 is entdless, which was due to the excellent speakers and truly informative sessions. The event was amazing and full of great people.

Followed by User Group Summit with crowds of people, great exhibitors and a lot of new contacts and customer meetings. Amazing keynote speakers, small group sessions, gripping speeches and lots of networking opportunities converted this event into a Microsoft Dynamics 365 festival. All in one we had great sessions and learned great Dynamics people!

Dialing Rules

When configuring DIALING RULES we need to know exactly how the number must be concatenated for dialing

- internal company calls ( the call is not routed outside your local loop)
- local calls within your area code
- for long distance calls within your country but outside your area code
- for international calls outside your country

To properly set those, we need to know the following codes like

"exit code", "country code", "area code", "trunk code", "access code".

First of all, we need to define what is our
* country code -> Country calling codes are used to dial phone numbers internationally. Each country has an assigned code of its own. In order to dial an international phone call you must always use a country code before the actual subscriber telephone number.
* exit code -> Exit codes, also known as international access codes or international direct dialing (IDD) codes automatically redirect telephone calls to a foreign country. It is the first code you dial when calling abroad. You may replace it with the plus sign (+).

This setting depends on the country you are in.
For example if you are located in United States, your Country Code is 1 and the Exit Code is 011.
If you are located in Germany, then your Country Code is 49 and the Exit Code is 00.
If you are located in Australia, then your Country Code is 61 and the Exit Code is 0011.

Exit Code is a sequence of digits you need to dial for international calls. If a person in Australia wants to call into Germany, then they must dial their own Exit Code 0011 and the Country Code of Germany 49.

For non-international calls, we need to define what is the
* TrunkCode
and what the
* local AreaCode.

National TrunkCode is used to place calls within a certain country. It is the sequence of digits that must be dialed before the Area Code. It is left out when dialing in from abroad.
If you are located in United States, then your Trunk Code is 1.
If you are located in Germany, then your Trunk Code is 0.
If you are located in Australia, then your Trunk Code is 0.

*Access Code is code dialing for accessing phone lines outside your companies phone network. Regardless if you want to make an international call or noninternational call. If the call is internal between the local companies extensions, then the Access Code needs not to be dialed, since there is no need for accessing outside phone netwoork.

The sintax for internation calls is
[Access Code] + [Exit Code] + [Country Code] + [Area Code] + local subscription number

The sintax for long distance calls is
[Access Code] + [Trunk Code] + [non-local Area Code] + local subscription number

The sintax for local calls is
[Access Code] + [Trunk Code] + [local Area Code] + local subscription number
or if the local area code is not required
[Access Code] + local subscription number

The sintax for internal calls between the local company extensions is to dial only the internal extension (usually not longer than 4 digits).

To set those settings you need to define the Dialing Rules in Phone and Modem settings.
If you have troubles succesfully dialing the numbers over our CTI, you need to pass us the syntax form for

international calls
[Access Code] + [Exit Code] + [Country Code] + [Area Code] + local subscription number
for long distance calls
[Access Code] + [Trunk Code] + [non-local Area Code] + local subscription number
for local calls
[Access Code] + [Trunk Code] + [local Area Code] + local subscription number

To verify the settings go into TIClient / Setup / Phone tab.

After you press the Apply button, those settings will be stored in the Windows LOCAL_MACHINE registry
Computer\HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows\CurrentVersion\Telephony\Locations\Location

Note: Because the registry branch Computer\HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows\CurrentVersion\Telephony\Locations\Location has restricted permissions for modifying values, you might need to apply those settings via the official Windows Phone and Modem (telephon.cpl) tool.
Otherwise the changes you made in the TIClient / Setup / Phone / Dialing Rules, will not be saved.

TelephoneIntegration Phone Test Tool

This blog article guides you through the test of the compatibility of your phone system with the TelephoneIntegration addon for Microsoft Dynamics 365. For more information, please also have a look at the corresponding documentation.

The tool offers two communication channels. You need only one of them to be able to use our CTI.

Via TAPI
For testing, via TAPI you require a valid TAPI driver from your phone system vendor.

Via SIP
For testing SIP protocol, you need a valid sip user account. For this, you require SIP username, SIP password and SIP domain (PBX server).

The testing consists of 7 steps you have to follow:
1. The tool can be downloaded and downloaded from our website.
2. After the extraction, start the PhoneTest.exe.
3. Select your desired channel of communication (TAPI or SIP).
4. Test an incoming call.
5. Test an outgoing call.
6. Evaluate the results.

Step 1: Download and start the tool
First, please download the ZIP file here, extract and open it by hitting the PhoneTest.exe file. Start the tool and press the [Get Startted]-button.

Step 2: Select the plugin
Next, please choose the plugin interface you want to test.

Step 2: Configure plugin
If selecting TAPI, you need to select your TAPI line provided by your TAPI driver and hit the [Next]-button. Please note: If the selected line cannot be activated, the [Next]-button will stay disabled.

If selecting SIP, you need to type in your SIP credentials – your username, password and the domain as you can see below.

Step 3: Grant access
In the firewall-window please grant access to the phone test tool as you can see in the figure below.

Step 4: Test incoming call
After successful registration with your SIP user account, you can now test an incoming call. Hit the [Continue]-button in order to do that.

Accept or decline the call by clicking one of the buttons.

At the bottom, you will find enabled features listed that were successfully tested.

Step 6: Evaluation of all inocoming and outgoing calls
In the end, we evaluate the incoming and outgoing call. We check if the caller/caller number was detected if the Answer/EndCall operation is possible and if we can observe the state of the call. If everything is green, then the TelephoneIntegration addon is compatible with your phone system as you can see in the figure below.

Per User Licensing limitations

For most of our products we do allow to either license all active users or only the subset of users that requires to use our solutions. This comes with certain limitations in functionality where usage of our Addon cannot be related back to a specific user.

This blog article explains the limitations and considerations you need to be aware of when purchasing a "per User" license.

DocumentsCorePack

Workflow capabilities disabled: This means that document automation inside Worfklows is not possible.

ActivityTools, SmartBar, PowerSearch: (Elements embedded into Entity - forms)

Form Element shows "no license" message: Users without a license will see a "license error" message instead of our AddOn. As this can take a severe amount of space on your form we do recommend to create separate forms for users with/without a license for our solutions.

How licenses are counted

This blog article outlines how licenses are counted in our system. The counting mechanism varies depending on the type of license being used. We differentiate here between two types of licenses – the Normal licenses and the TeamMember licenses. Below are the two different license types and a description of how the count works for each. You will also find a description on where to find information about your counted licenses.

❶ Normal licenses
For the required licenses, all users that are activated and have as Access Mode “Read-Write” in Dynamics 365, are counted. Users with “Administrative” as Access Mode are not counted.

There is the possibility to count only users with a security role for licensing. Important: We are counting user licensing assigned to the user directly or via team membership. To activate this feature the only thing you need to do is to create a new settingsKey for AutoMerge called “CountUsersWithSecurityRolesOnly” with value “true” as you can see in the figure below. More information about how to create settingsKeys can be found here.

Additionally, there are users who have app access security roles as you can see highlighted in the figure below. App access security roles are predefined roles by Microsoft and are automatically assigned to users. These security roles will not be counted by DCP until you modify them.

❷ TeamMember licenses
If you have TeamMember licenses, please notice that these are counted different. TeamMember are assigned to specific license groups in Azure Active Directory and only two types are counted – the “DYN365_ENTERPRISE_TEAM_MEMBERS" and the "DYN365_TEAM_MEMBERS".

Where to find information about counted licenses?
Sometimes it may be unclear how we count the amount of relevant Dynamics 365 users for licensing. In order to show which Dynamics 365 users are counted, we have included the "User Count Info" overview. It can be accessed via the Web License Manager (Dynamics 365 > Settings > MSCRM-ADDONS area > DocumnetsCorePack (or any other addon).

In the configuration window, please navigate to the ❶ Licensing server-tab. Here you can see the number of site licenses - in this case ❷ 22 users. For detailed information please hit the ❸ [User Count info]-button at the bottom (required “MSCRM-ADDONS.com General” solution version 2017.53 or 2018.53).

For DocumentsCorePack Online services you can access via the Service Configuration as well. Click on the [View & Install license]-button and navigate to Users as you can see in the figure below. No matter which way you choose this will open the User count info overview.

In the so openend window, you can see four sections:

Summary: Displays basic information as you can see in the figure above
Full licenses Users: Provides you with a list of all users which require a full license
Licensing Relevant Roles: If a user has assigned such a security role, he is counted for licensing
Licensing Unrelevant Roles: These are automatically assigned app access roles. If a user has these roles assigned only, he is not counted for licensing

Open the Full licenses Users by hitting the plus symbol on the left side. Here you can use the search box to look for specific users by their “User Name”. Hit on “Click to see the Roles” on the right side in order to see the relevant roles assigned to that user. “(User)” means the role is directly assigned, “(Team)” means the role is assigned to a team that user is a member of.

Via the Web License Manager, you also have the possibility to download the whole overview by hitting the [Download]-button at the bottom (e.g. to send it to our support).

Power Dialer sorting rules of phone calls

This blog article outlines how the PowerDialer sorts phone calls. First, the PowerDialer prioritizes calls where the user is the owner, then by priority of the call (high, normal, low).

After, it is possible to sort calls by a text field, number field or date field.

In case, the PowerDialer should take ascending order by a text subject field, then the user must set a server-side setting key "PTMPriorityString" with the value "subject".

In case, the PowerDialer should take the ascending order by a number index field, then the user must set a server-side setting key "PTMPriorityInt" with the value "index".

In case, that the PowerDialer should take the ascending order by a date-time actual start field, then the user must set a server-side setting key "PTMPriorityDateTime" with the value "actualstart".

As a value of the key setting, the attribute name should be used.

Only one setting key for setting the order can be set.

How to check the installation status on Microsoft AppSource

This blog article outlines how to check the installation status on Microsoft AppSource. For example, if you started the installation of GroupCalendar form Microsoft AppSource. At a later time, you want to check if the installation is completed or if there were any problems. This article explains how this can be done.

First, go to the Microsoft 365 Admin Center. Within Dynamics 365 hit on ❶ "Navigate to other applications" and hit ❷ "Admin".

Next, please navigate within Microsoft 365 admin center to the section "Admin centers" as you can see below.

In the so opened management console select the correct ❶ organization and hit on ❷"Solutions".

Next, please select the product for which you want to get more information - in this case, GroupCalendar.

How to activate the Unified Interface
For activating and choosing your desired Unified Interface, please open the TelephoneIntegration Client Settings, navigate to ❶ Advanced and choose your module in the ❷ Unified Interface ID area. The default value is None. After choosing the Module and saving the setting, the new Dynamics 365 records and activities will pop up with that view.

Check Phone System compatibility over TAPI or SIP

Update: To test the compatibility of your phone system, please download the Phone Test Tool. A sptep-by-step user guide is in the ZIP-file included. The tool offers two commmunication channels (TAPI and SIP). You need only one of them to be able to use our CTI addon.

The goal of that blog article is to describe how to easily test whether TelephoneIntegration addon would work with customer PhoneSystem (PBX) either over TAPI or over SIP. This is the easiest 5 minute testing without any deep technical knowledge about TAPI or SIP.

Prerequisites & Checklist

1) Details of phone system:
a. Vendor name:
b. Model name:

2) Is a TAPI driver available for your phone system ? (yes/no)
If you are unsure, please check with your phone system vendor for availability.

3) If #2 is no: Is your phone SIP-based? (yes/no)
If you are unsure, please check with your phone system vendor for details.

4) Depending on Have you been able to verify compatibility using the information below?

Compatibility tests:

In order to make the most out of the call please ensure that a person with rights to download/install software as well as a person familiar with the phone system is available during our call OR has been able to perform the below tests prior to our joint call.

TAPI-driver available for your phone system:

1. After installing and configuring the TAPI – driver for your phone system
2. Start Window Phone Dialer by pressing “Win+R” to call out the Run box, then type “dialer.exe” and hit Enter.

3. Type in the number you want to dial and then go to Tools and select Connect Using as you can see in the figure below.

5. Press Dial. You should see a new Dialing popup as you can see below.

How to open the fields.xml settings in Dynamics 365?

This article outlines how to open the fields.xml Settings.

The fields.xml Settings are server-side Dynamics 365-Settings.
There are 2 ways to open the Settings.

This tab focuses on the advanced functionalities of the TelephoneIntegration Configuration.
Use it to view, copy and send the fields XML for support purposes.

Navigate to Settings > MSCRM-ADDONS > TelephoneIntegration in Dynamics 365.

When GetStarted-page of TelephoneIntegration opens, please switch to the Advanced-Tab.

To view the Field.xml-settings, select the [Show]-button

The Fields.xml-window opens and displays the Settings-Code, highlighted in yellow in the figure below.
Now you can copy this text for example to send it to our Support-Team.

Please note: Do not change the value manually.
Instead, use the TelephoneIntegration Server Configuration Tool in order to change the value.

To close the window, please click the [Cancel]-button.

If you have not received the desired result, please try the other way:

Navigate to Settings > MSCRM-ADDONS > Products > TelephoneIntegration in Dynamics 365.

Then open the SettingKeys.

There, you will find the fields.xml value.

Please note: Do not change the value manually.
Instead, use the TelephoneIntegration Server Configuration Tool in order to change the value.

How to activate per User Licensing in Dynamics 365

This article outlines how to activate a per User License in Dynamics 365 for ActivityTools, GroupCalendar, PowerSearch, SmartBar and TelephoneIntegration.

For DocumentsCorePack the first steps are the same. Please follow the link when you will be asked for.

When using “per User” licensing, it is mandatory to enable all users that should be licensed within Dynamics 365. Licenses for TelephoneIntegration are always per User. It is also possible to have per User licenses for ActivityTools, GroupCalendar, PowerSearch and SmartBar.
This example concerns the TelephoneIntegration license.

To check the license after installing via the License Manager please go to CRM->Settings->MSCRM-ADDONS-Tab.
Now choose the Addon you want to check the License for. In this case, we select TelephoneIntegration.

If you want to select DocumentsCorePack, please click here.

When the Get Started-page of TelephoneIntegration opens, please navigate to the Licensing-Tab. It often occurs, that after installing the license via the License Manager a window appears that looks like in the figure below:

After installing the new license, the ❶ access is denied. This is due to the fact, that the user, that is running the license manager (usually an admin) itself is not a licensed user at this point. Click on the ❷ [Activate Users]-button to enable specific users.

In the window below, you can select the users, that should be licensed within Dynamics 365.

After enabling users to use our addon, the red cross is gone, and the user account has changed due to the number of activated users. As you can see below, there are three of ten users enabled to use TelephoneIntegration.

How to activate a per User License in Dynamics 365 for DocumentsCorePack

Here we select DocumentsCorePack.

Licenses for DocumentsCorePack-ClientBased are usually per User.
It is also possible to have per User licenses for DocumentsCorePack_ServerBased (from Small to Enterprise package).

When the Get Started-page of DocumentsCorePack opens, please choose, if you want to activate Client license or Server license and go to the accordingly tab.
It often occurs, that after installing the license via the License Manager a window appears that looks like in the figure below:

Add Config SiteMap entries manually

This blog article outlines how to manually add SiteMap entries linking to our product config pages.

After installing our products you normally get an entry for our product entity "Products" and an entry for each of our products linking to its configuration page. By default, these entries can be found in Dynamics 365 under Settings as you can see in the figure below.

In the SiteMap Designer please select the SiteMap entry you want to customize - in this case, ❶ Settings. Next, hit the ❷ [Add]-button and select ❸ Group.

Arrange your Subarea by setting the values below:
❶ Type = Entity
❷ Entity = MSCRM-ADDONS.com Products
❸ Title = Products

As explained before, please add another Subarea and set the values below:

DocumentsCorePack:

❶ Type = Web Ressource
❷ URL = AutoMergeConfig (ptm_AutoMerge/AutoMergeConfig.html)
❸ Title = DocumentsCorePack
❹ Icon = ptm_Icon32x32_White.png

Now you can see your first product in the MSCRM-ADDONS area - in this case DocumentsCorePack. This process is the same for all our other products.

Below please find the right values for each product. As Type always please select Web Resource and the Icon value is always the same: Icon = ptm_Icon32x32_White.png

Licensing Guide for Microsoft Dynamics 365

This blog article is intended to guide you through the usage of the License Manager for Dynamics 365. The License Manager allows you to manage your existing licenses and is part of the MSCRM-ADDONS installation.

There are two ways to get the License information:

1) The Web License Manager
The web license manager has been designed to facilitate the installation of license keys within Dynamics 365.

2) The Local License Manager
The local license manager is accessible as a standalone application or from the main configuration tool of the
addon.

1. The Web License Manager

Open your Dynamics 365 Settings, navigate to MSCRM-ADDONS-section and click on the addon you want to manage the license for e. g. ActivityTools.

The main configuration window provides you with a few tabs that allow you to configure your addon in general, in this example ActivityTools. Please navigate to the Licensing-tab (highlighted in yellow below).

Anyway, after the starting process, the window (see screenshot below) pops up:

Upgrading your license

To update or upgrade your license, you have two options:

1) Purchase a new license or an upgrade license directly in our online shop:

TelephoneIntegration for Dynamics 365 - Extended Features

Power Dialing

This article outlines how you can activate the Power Dialing functionality of TelephoneIntegration for Dynamics 365. The steps described are relevant if you installed TelephoneIntegration from Microsoft AppSource or if you use the Web Configuration.

Enabling this feature will enhance the Campaign Activity entity with an additional “Power Dialing” form section. And will add the “Create Power Dialing list” button to the entities Account, Contact and Lead.

Install Solutions

After enabling the Power Dialing setting inside the Web Configuration you will have to install the TelephoneIntegrationPowerDialing solution.

Please follow these steps to install the solutions:

Download the solutions zip file (Download Link):
Unzip the downloaded "TelephoneIntegration for Dynamics 365 v9_ExtendedSolutions.zip" file and you will find two solutions (TelephoneIntegrationPowerDialing.zip ,TelephoneIntegrationServerCore.zip)
Open Dynamics 365 -> Advanced Settings -> Settings -> Solutions -> hit “Import”
In the popping up dialog select the “TelephoneIntegrationServerCore.zip” file and follow the wizard.
Once done, reproduce this process. This time select the “TelephoneIntegrationPowerDialing.zip” and follow the wizard.

How to create a SettingsKey manually in MS Dynamics 365

Sometimes you may be asked to create a new settingskey for one of our products - for example, if we develop a customization for you or if a special configuration is needed, etc.

To do so, please follow the six easy steps below.

Step-by-step: How to create a SettingsKey manually in MS CRM 2016 or MS Dynamics 365

1. Open your Dynamics 365 in your Browser.

2. Go to Settings within the Dynamics 365 navigation.

4. Open the product record for which you need to create a new settingskey for with a double click on it.

Please note: If the new key is intended for a client application like DocumentsCorePack or TelephoneIntegration, you need to restart the Client application.

Otherwise, the setting will not be applied to the Client.

Dialing rules for TelephoneIntegration Client users

Dialing rules are used to define telephone numbers and number masks for calls (regional, national and international). Each dialing rule determines the types of calls that can be made. Supported by two examples, this article outlines how to correctly configure the dial rule entry when using TelephoneIntegration (TI) Client.

The following 4 numbers are crucial when creating a new dialing rule in TI Client. So it is very important that you know your
CountryCode
ExitCode
AreaCode
TrunkCode

Example 1
Before we create a dialing rule for Graz, Austria we need to know, that the following rules apply for that country/town:
CountryCode = 43
ExitCode = 00
TrunkCode = 0
AreaCode = 316
OutsideAccess = 0
Please note: The OutsideAccess number depends on the local companies' phone system, which means that it can vary.

Example A:
We want to contact someone in Graz. (0316/123456789)
So all we need to dial is the OutsideAccess + the telephone number
The number we would have to dial is 0 123456789.

Example B:
We want to contact someone in Salzburg, which is an Austrian city (famous for Mozart). (0662/123456789)
So all we need to dial is the OutsideAccess + the TrunkCode + Salzburg's Area Code + the telephone number
The number we would have to dial is 0 0 662 123456789.

Example C:
We want to contact someone in Atlanta, Georgia. (0404/123456789)
So all we need to dial is the OutsideAccess + Austria's ExitCode + the USA CountryCode + Atlanta's Area Code + the telephone number
The number we would have to dial is 0 00 1 404 123456789.

Example 2:
Before we create a dialing rule for Atlanta, Georgia (USA) we need to know, that the following rules apply for that country/town:
CountryCode = 1
ExitCode = 011
TrunkCode = 1
AreaCode = 404
OutsideAccess = 9
Please note: The OutsideAccess number depends on the local companies' phone system, which means that it can vary.

Example A:
We want to contact someone in Atlanta. (0404/123456789)
So all we need to dial is the OutsideAccess + the telephone number
The number we would have to dial is 9 123456789.

Example B:
We want to contact someone in New York (famous for the Statue of Liberty). (0917/123456789)
So all we need to dial is the OutsideAccess + the TrunkCode + New York's Area Code + the telephone number
The number we would have to dial is 9 1 917 123456789.

Example C:
We want to contact someone in Graz, Austira. (0316/123456789)
So all we need to dial is the OutsideAccess + the US ExitCode + Austria's CountryCode + the Area Code of Graz + the telephone number
The number we would have to dial is 9 011 43 316 123456789.

How to activate dialing rules in TI Client?

This example outlines how to create a settingskey for a number that is from the United States. If you haven't created a settingskey yet, please have a look at this blog article. To enable this logic, you must create the below settingskey:

HKEY_CURRENT_USER\Software\PTM EDV-Systeme\TelephoneIntegrationclient2011
String value: BasicPreprocessing
Data value: true

The US has the country code 1, the exit code 011 and the trunk code 1. So, we must add 2 new registry string values:

String Value: TrunkCode
Data Value: 1

String Value: ExitCode
Data Value: 011

As soon as you have finished, do not forget to save your settings and restart the TelephoneIntegration Client.

Call recording feature for TelephoneIntegration

TelephoneIntegration Client offers the possibility to record and store phone calls in Microsoft Dynamics 365 (CRM). This article outlines how to use this feature.

Please note: The feature only works with SIP Client and was built as an 'always store'-option

How to activate the call recording feature
First, please make sure that you have a local registry key called 'PhoneActionMode' with the value 'true' under
HKEY_CURRENT_USER\Software\PTM EDV-Systeme\TelephoneIntegrationclient 2011

If you do not have it, simply create a new settingskey.
To do so, please navigate to Settings > MSCRM-ADDONS.com Products and select TelephoneIntegration with a click on it.

Next, click on the [Add New MSCRM-ADDONS.com Settingskey]-button in the command bar.

In the so opened window, insert the following data:

Name PhoneActionMode
IsCached Yes
KeyValue True

This action creates a new context menu item called 'Phone Action > Record'.

How to use the call recording feature
This action creates a new context menu item called 'Phone Action > Record'.
In order to activate the record functionality, simply click on record whenever you would like to record a call.

At the end of the call, a new generated folder called 'Archive' will contain a new .wav file (including the call recording). Usually, CRM will store the recordings in the registry where you can find the log files as well. Additionally, the so created audio file is automatically uploaded to the correspondent phone call and saved as a note.

The file's name is built up as follows:
