How to test a DocumentsCorePack template (Dynamics 365)

You have created or modified a new template and now you would like to give
it a try. You can test your template with DocumentsCorePack Client.

Make sure that you have opened your template in Word. If the template
has not been opened in Word or if the template is not a DocumentsCorePack
template, the following steps will most likely not work.

  1. Hit the [Choose Data]-button
    A search dialog in which you can select a test record will open up.

  2. Select a record
    Enter a search term and click on the [ Search ]-button (1).
    Select one of the records from the result windows (2)
    and hit the [Select]-button (3).

    Your template will be merged and the Dynamics 365 data will be populated.

  3. Check your created document
    Now check your template and verify if your modifications and your
    design are as expected.

    Please note: Some special settings may not take effect at this point!
    To ensure that everything works properly, please use your template in the usual working process.

Document Name (Dynamics 365)
The Document name property allows you to define a name or a name pattern
for your template. So the actual document already has a pretty name as soon
as it is generated. This setting applies to both, DocumentsCorePack Server Based and
DocumentsCorePack Client Based. The following step by step description outlines
how to set this property in the DocumentsCorePack Client for your template.

Example: A template with the name "Quote_Base.docx" (1) creates a document with
the name "Nuclear Power Plant-QUO-01000-W4G3T9.docx" (2).

  1. Access the Document Name and Subject section
    Navigate to Document Name and Subject (1).

  2. Set your document name pattern
    Insert placeholder for Dynamics 365 fields by double-clicking the element in the tree
    or type in some fixed text enclosed by single quotes.

    The basic rules for the syntax of this property are:
    - Dynamics 365 fields have to be enclosed by << and >>
    -
    The fixed text has to be enclosed by single quotes (').
    - Fields and fixed text have to be combined with a plus (+)

  3. Save your template
    Before you can use or test your template you have to save it.
    Either you save your template locally with the standard Save or Save as
    a functionality of Word or you use the Save template-option of the
    DocumentsCorePack client in order to publish the template to Dynamics 365.

  4. Test your template [optional]
    As you have made changes to your template you might want to test them quickly.

The [Insert Field]-button (Dynamics 365)

This article outlines the functionalities of the [Insert field]-button. 

The button itself inserts a selected field directly into your document.
The Drop-down-menu (1) allows you to insert special field types to your template.

Sharepoint Metadata (Dynamics 365)

The latest version of DocumentsCorePack Server Based supports the population of metadata into SharePoint. Proper configuration of Dynamics 365 and DocumentsCorePack for the Dynamics 365 Integrate SharePoint is needed as well.

 Please note: Only base types are supported, taxanomy properties are currently not supported.

The below screenshot shows a property that was created by DocumentsCorePack
with data from Dynamics 365 (1).

If you are not sure how to access the template settings to set the
SharePoint metadata, please have a look at this article first.
  1. Access the SharePoint Metadata section

  2. Add, edit or delete a property
    - To add a property use the [Add]-button (1)
    - To edit a property select an element (4) and hit the [Edit]-button (2)
    - To delete a property select an element (4) and hit the [Delete]-button (3)

  3. Create a new property
    After you have selected Add/Edit the SharePoint Metadata Field Settings
    a window will pop up.
    You have to manually type the name of the SharePoint property. (1)
    How to create, change or delete custom properties on the Sharepoint is
    described in this external blog by Microsoft.
    The value of the property can be composed of Dynamics 365 fields and fixed text.

  4. Save your template 
    Before you can use or test your template you have to save it. Either you save your template locally with the standard Save or Save as the functionality of Word or you use the Save template-option of the DocumentsCorePack client in order to publish the template to Dynamics 365.

Insert Hyperlink (Dynamics 365)
The Hyperlink property allows you to define a pattern for a dynamically
created link. The following step by step description will show you how
to set this property in the DocumentsCorePack Client for your template.

  1. Use the Insert Computed item option

  2. Compose your link
    Select the Link-tab (1) and define your link pattern.
    The syntax for this field is described here.

  3. Compose your placeholder name
    Select the Display name-tab (1) in order to set a name for the link.
    Here we have a fixed text. The syntax for this field is described here.

  4. Additional options [optional]
    You can enable the link to be displayed, even when there is no
    data returned for Dynamics 365 fields (1).
    Or you also can remove the link completely if there is no data returned (2).

  5. Save your template
    Before you can use or test your template you have to save it.
    Either you save your template locally with the standard Save or Save as
    functionality of Word, or you use the Save template-option of the
    DocumentsCorePack client in order to publish the template to Dynamics 365

Computed Field (Dynamics 365)

The Computed Field property allows you to evaluate calculations of data from Dynamics 365.
The following step by step description will show you how to set this field in the
DocumentsCorePack Client for your template.

The example below shows an evaluated calculation based on Dynamics 365 field in a template (1).

  1. Use the Calculated Field document option

  2. Create your calculation
    The syntax for this field supports the basic arithmetic operations.
    / -    divide
    * -   multiply
    +     summate
    -      subtract

    Other than the usual DCP syntax, numeric values are added
    without single quotes:

  3. Save your template
    Before you can use or test your template you have to save it.
    Either you save your template locally with the standard Save or Save as
    the functionality of Word or you use the Save template-option of the
    DocumentsCorePack client in order to publish the template to Dynamics 365.

Advanced String (Dynamics 365)

The Advanced String property allows you to define a pattern for a dynamically
created string. The following step by step description will show you how
to set this property in the DocumentsCorePack Client for your template.

The example below shows an advanced string (2) based on placeholder
in a template (1).

  1. Use the Advanced String option

  2. Create your advanced string
    Define your link pattern (1).
    The syntax for this field is described here.

  3. Define a placeholder [optional]
    You can set a placeholder name (1) for your field so you find it easier
    in case you have to modify your template in the future.

  4. Save your template
    Before you can use or test your template you have to save it.
    Either you save your template locally with the standard Save or Save as
    the functionality of Word or you use the Save template-option of the
    DocumentsCorePack client in order to publish the template to Dynamics 365.

Insert QR-Code (Dynamics 365)
The Insert QR-Code field allows you to define a pattern for a dynamically
created QR-Code. The following step by step description will show you how
to set this field in the DocumentsCorePack Client for your template.

The example below shows a QR-Code (2) based on Dynamics 365 field
in a template (1).

  1. Use the Insert Computed Item

  2. Create your QR Code
    Define your link pattern. The used text will be
    transformed into a QR-Code.
    The syntax for this field is described here.

  3. Additional options [optional]
    The QR Code Level (1) shows the displayed level of the QR-Code. The default
    setting detects the smallest value. If e.g.: the value of this option is set with 5
    with a maximum sign-length of 108, then only 108 signs will be displayed.
    All signs that exceed the maximum length are cut.

    The Error Correction (2) defines the capacity and fault tolerance of the
    QR-code. The value shows the amount that can be restored in percent.

    The available options are:
    - Level L =7 % of the code words/data can be recovered
    - Level M = 15 % of the code words/data can be recovered
    - Level Q = 25 % of the code words/data can be recovered
    - Level H = 30 % of the code words/data can be recovered

    The Max Length (3) is not editable and depends on the above settings.

  4. Save your template
    Before you can use or test your template you have to save it.
    Either you save your template locally with the standard Save or Save as
    the functionality of Word or you use the Save template-option of the
    DocumentsCorePack client in order to publish the template to Dynamics 365.

Insert Static Document (Dynamics 365)
The Insert Static Document feature allows you to insert a sub template into
your current template or also to insert further text documents, like AGBs.

The example 
below shows a template with a place holder for a sub template (1)
and the final merged document with also the sub template merged(2).  Figure 1: Example of a sub template

  1. Use the Insert Static Item option

  2. Select a document to insert
    At this point, you have two options. You can either select a sub template and
    provide the necessary field as a merge parameter or you can skip this step and
    select a static document only (which does not require a parameter for merging).

    a) Provide a merge parameter [optional]
    Select an ID-field from the treeview (e.g. Contact) (1) and check the
    Provide the selected field as a parameter - checkbox.

    b) Hit the [Select Document]-button

    c) Select a sub template or static document
    All the available documents are stored in the DocumentsCorePack templates entity.

  3. Insert place holder
    You will notice the name of the select template in the new window (1).
    Apply the new field by clicking the [OK]-button (2).

    Save your template

    Before you can use or test your template you have to save it.

    the functionality of Word or you use the Save template-option of the
    DocumentsCorePack client in order to publish the template to Dynamics 365.

GroupCalendar Online 2015 Update

It has been a while since the last GroupCalendar Online update. We have now added a few improvements that require your attention. Many of our customers are still on the GroupCalendar 2013 instances which are not up to date anymore. To benefit from the new improvements and features of the GroupCalendar 2015 version, we would need you to perform a simple task for us.

What can you expect from the update?

1. Performance: There were a lot of performance improvements since the last version. We’re constantly trying to improve the performance so our customers don’t lose too much time during scheduling.

2. Multiple data centers: GroupCalendar is available in more datacenters than before. After you’re done with the steps described below, it will be possible for us to move your installation without interruption to the latest release version. We’ll decide to which datacenter you’ll be moved to get the best performance available. I.e., it doesn’t make sense that when your CRM is located in Europe and connecets to a GroupCalendar instance hosted in the US.

3. New features: In addition to the performance improvements, we have also implemented a few other features you might be interested in.

  • Auto-Refresh: Whenever someone updates or creates a new activity within CRM, the GroupCalendar will automatically refresh its view. Each user will always have an up-to-date overview of the scheduled activities.
  • Quick previous/next navigation: The TopDown and Agenda view now have a separate navigation option to quickly navigate to the previous or next day/week/month. There is no need to open the right navigation pane to switch days/weeks/months.
  • Improved week number calculation: The calculation of the week numbers did not work in some special cases.
  • Performance Counters: In case you run into any performance issues, even with the performance-optimized version, we have added performance counters to see what exactly is slowing down GroupCalendar.

 

How to get the new features and improvments?

You need to prepare your system with the latest MSCRM-Addons.com Solutions so we’re able to move your installation to an up to date instance. This step could be quickly done by a CRM administrator. Please download these three files:

After that, please navigate within your CRM to Settings > Solutions.

Please import all three solutions in the above order.

If you want to use the auto-refresh feature, you have to assign all users the security role MSCRM-ADDONS.com GCAutoUpdate after you have imported all the solutions.

 

How long will it take to get the update?

We’ll periodically check if your CRM system was prepared with the above steps and if so, we will perform all necessary steps.

After we have applied all steps to GroupCalendar, your CRM connects automatically within 7 days to the new Group Calendar instance.

It could happen that some users will see the update earlier than others.
