How to boost your marketing campaigns in MS Dynamics 365 with PowerDialer for TelephoneIntegration

Our MSCRM-ADDON TelephoneIntegration offers lots of valuable features that will boost your daily phone tasks and track your phone call activities in Microsoft Dyamics 365 (CRM).

One of them is the PowerDialer. Learn more about how to enable/disable the Power Dialer for TelephoneIntegration in this blog article.

 

Basically, the Power Dialer enables you to work with semi-automated call queues.

Power dialing usually bases on Microsoft Dynamics CRM / Dynamics 365 Campaign Activities or on a custom Power Dialer List entity.

A server-side integration allows to mark Microsoft Dynamics CRM / Dynamics 365 Campaign/Campaign Activities as Power Dialer lists.
The TelephoneIntegration Client can attach to them and process the calls saved in these power dialing lists according to their settings.

The base for the Power Dialer is the extended CRM Campaign/Campaign Activity entity.
The Power Dialer processes the phone calls created in the CRM call-campaign-activity.
The term Power dialing list refers to a CRM call-campaign-activity, marked as Power Dialing list.

Users participating in the Power Dialer are defined via the ownership of the created phone calls of a CRM call-campaign-activity.
This is either a specific user or a team. To assign multiple persons to a Power Dialer, the creation of a team in the Microsoft Dynamics 365 (CRM) settings-area is mandatory.

To create a campaign activity based Power dialer list, you have to follow the below steps:

Create a marketing list of selected contacts, leads or accounts.

Create a campaign and add the previously created marketing list.

Create a campaign activity and distribute it to marketing list members by using the phone channel.

Power Dialer also offers the possibility to create a Power dialer list based on custom power dialer list entities.
This requires a little bit more attention. For further information on how to do so, please have a look at this blog article.

How to create a PowerDialer list based on the custom PowerDialer list entity

Power Dialing lists in TelephoneIntegration for Microsoft Dynamics 365 (CRM) usually bases on Microsoft Dynamics 365 (CRM) Campaign Activities or on custom power dialer list entities.

But you can also create a Power Dialer list based on custom power dialer list entities.

Please follow the below tutorial in order to create such a list.

 

Step 1: Select the contacts/accounts/leads in your Microsoft Dynamics 365 (CRM) view you would like to use for your list and click on the [Create Dialing List]-button in the ribbon. For this example, we decided to use the entity Contact.

Step 2: Fill out the form and press the [Create New]-button or the [Add to existing]-button (in case you have already created a list and simply want to add some more contacts) and give it a pretty name.

Step 3:
Congrats! You have created a PowerDialingList record.

Step 4: Please change the fields according to your needs and then save the changes. The Power Dialer List record is now ready to use.


Step 5:
Now, the PowerDialing functionality must be enabled in the TelephoneIntegration Server Configuration. Please watch this video for further information. (Please note: The video was created for Microsoft Dynamics CRM 2015/2016, but its content is also valid for Microsoft Dynamics 365 (CRM) ).


Step 6:
TelephoneIntegration Client retrieves the server-side setting UsePowerDialing when it is stars. If Power Dialing is enabled, the Client checks for updates every minute. If any updates apply to the logged-on user, a notification window is displayed.

How to work with PowerDialer for TelephoneIntegration

The handling of PowerDialer for Microsoft Dynamics 365 (CRM) is very intuitive. This article outlines how easy it is to work with PowerDialer.


How to open PowerDialer

Of course, before you start working with PowerDialer, you have to open it. This requires, that the functinality is enabled in your system. Learn how to do so here.

However, PowerDialer can be opened easily by selecting it in the Application Menu as soon as it is enabled.

A new window providing you with a list of active campaign-activities appears. It contains all relevant details for each campaign-activity. This window is referred to as Available Dialer Preview List. Please note: Only one PowerDialing-List can be started at a time. To do so, please double click a list or mark a list and click on the [Start]-button.

How to work with PowerDialer

The PowerDialer surface is highly intuitive and divided into 4 sections.

During the execution of a PowerDialing list, the default TelephoneIntegration balloon is disabled. The calls of a PowerDialer list are processed in a separate window, known as Power Dialer WorkplacePlease note: Detaching is only possible, if the Power Dialing List Client is in pause mode. The pause mode can only be activated in the preprocessing state .

Please find some detailed information regarding the single sections here:

Recepient information - section
In this section, you will find all the information about the recipient of the planned phone call activity. A click on the [Back to Call]-button allows users to switch back to the current call form.

The Prepocessing -section
In this section, you will find all the information regarding the preprocessing of the phone call. 

Possible states are:

A) Pre-processing (user prepares for the call)
Represents the state before the recipient is called. This time span is used to prepare for a call. The preprocessing state can be attached to a timer. Users can select between different CRM-phone numbers of the call-recipient. Furthermore, the current claimed call can also be skipped.

B) Active Conversation (user dials or is calling at the moment)
Represents the time span from dialing to finishing the call.

C) Post-processing (after the user ends the call
Represents the state when the call is summarized. Setting the call as successful or failed, marks the call as completed.

Please note: The time required that a user needs for pre-and post-processing phase of a call will be stored in Actual preparation time or Actual work time.

The New PowerDialing List Statistics -Section

In this section, you are provided with a statistic about the PowerDialing List, containing the following information:

  • name of the power dialing list
  • how many calls of total calls are still left
  • how many left calls are claimed
  • how many finished calls are rescheduled / successful / failed

Furthermore, the call statistic can be switched to ON or OFF. Once activated, the state of the CRM/Dynamics 365 server will be checked by running calculations in the background. This occupies the local processor with additional workload.

Current Call -section
This section shows the current call or a feedback option. If “Display CRM Forms” is disabled, the CRM call-form will be replaced by a text-editor, which can be filled in by the users and which is saved as the description of the phone-call activity associated with the actual call.


How to close PowerDialer

To close the Power Dialer Workplace window, the Power Dialer needs to be in preprocessing state. Closing the window during an active conversation or postprocessing phase is not possible. Please note: After closing the window, the TelephoneIntegration balloon is enabled again.

How to embed SmartBar as a WebResource

Please follow this step-by-step instruction to properly embed SmartBar as a webresource into your Microsoft Dynamics 365 (CRM).

 

Step 1: Open the entity into which you want to embed SmartBar (here: Sample Account 1 ) and click on the [Form]-button in the command bar.

Step 2: In the next window select the Insert-tab and select the [Web Resource]-button .

Step 3: The Add Web Resource-window opens. Look for ptm_SmartBar/MainPage.html in the web resource field. If it does not appear automatically, press the [Look up More Records]-button .

Step 4: The “Look up record”-window appears. As soon as you have found the correct file, please mark it and click on the [Add]-button.

Step 5: Now, the Add Web Resource-window appears again. Please name your web resource and insert the name in the Name*-field . Next, click on the [OK]- button in order to proceed.

Step 6: In the next window, drag and drop the new form to its future place.

Step 7: Once finished, please go back to the Home-tab and click on the [Save]-button and the [Publish]-button.

Step 8: Now the following window appears.

Step 9: Please return to the entity you wanted to add SmartBar. Refresh the page. Your entity should appear similar to the one in Figure 9.

How to add Custom Buttons to SmartBar

SmartBar for MS Dynamics CRM 2015/2016 and Dynamics 365 enables you to create custom buttons next to the standard buttons.

To do so, you need to navigate to the Buttons-tab.
Simply open the SmartBar setting, navigate to My SmartBar and click on the [Gear icon]–button. 

In order to create a custom button, simply click on the [Add]-button in the SmartBar settings’ Buttons-tab in the right lower corner.

Once you have clicked on the [Add]-button, you will be presented with the below window.
It supports you with the customization of your button.

As for example, in the Type-section, you can select between Entity|Sitemap, Javascript Function, Scroll to Section or Link.

As you can see, you can add more than one type of custom buttons.
Because of the buttons’ different functionalities, also the fields that can be customized vary from type to type.

Please find some detailed information regarding to the customization of the different types in the SmartBar Installation and User Guide.

Please note:
There is also a difference between the Custom Button-window in Standard Style and the Custom Button-window in Metro Style. If you use Metro Style, the Custom Buttons window offers more options.

So, if you switch from Standard Style to Metro Style, your Custom Button-window will contain all the usual components of the Custom Buttons-window plus the Button Background Color and the Button Width option.

How to add and/or remove Standard Buttons in SmartBar

The customization of Standard SmartBar buttons is said to be one of the easiest things that you can do with our addons.

 

First of all, open the SmartBar settings. To do so, simply navigate to My SmartBar and click on the [Gear icon]–button. 

The first tab (the so called Buttons-tab) is the one which enables you to add and/or remove standard buttons.

In the left column, you can see a list of all available buttons, while in the right column, you see the buttons that are currently installed.

To add a button (here: Users) to the SmartBar, simply click on it in the Available Buttons-section. Next, click on the arrow that points from left to right .
The button will be visible on site as soon as you save the configuration .

To delete SmartBar buttons, simply highlight a button in the Currently On Site-section.
Next, click on the arrow that points from right to left and the button will be deleted.

Please note: Standard buttons still exist in the list if you remove they are removed from the current site. In contrary to what happens to custom buttons: if you delete them, they will be deleted permanently. However, do not forget to save your configuration!

1) Check your current version

2) Download the Microsoft Dynamics 365 (CRM) version of our solution:
Please download the current version from our Download – Center here.

3) Install the Microsoft Dynamics 365 (CRM) version of our solution
Once you start the installer, it will detect the currently installed version and perform an upgrade automatically.
You will not lose any configuration during this process!

4) Please upgrade your CRM instance to Microsoft Dynamics 365 (CRM)

How to activate Template Designers (per user) for DocumentsCorePack Online Services

Login to our website (http://www.mscrm-addons.com/Login) and navigate to My Account Overview > My Cloud Services.

Select the desired service and click on the [License]-button.

Click on DCP Client and on the [Please click here to select the user …]-button.

Next, a dialog will open which allows you to select the desired users. Make sure you do not activate more users than your license covers.

How to complete the ActivityTools' update from AppSource

This article outlines how the update process for the new ActivityTools AppSource version (2016.2) must be finished.

!! This post is only relevant for you, if the below error message appears above your ActivityTools version.

HOW TO SOLVE THIS ISSUE:

 

Download the new version via this link:

After the download, you will see the ActivityToolsPluginCore solution in your downloads-folder:

Back in CRM, click on the [Import]-button in order to update the solution. As soon as you have selected the download solution .zip file, the following window will pop up:

Click on the [Next]-button in order to proceed. In the now following dialog, please make sure that Stage for upgrade is NOT checked. Instead, check the Overwrite customizations-option and click on the [Import]-button.

After the import has been finished, go to CRM > Settings > ActivityTools. The Config page, will provide you with the new version number: version 2016.2.1.

Now, ActivityTools will work again.

How to access the DocumentsCorePack Server Based General Settings for Microsoft Dynamics 365

Once you have installed DocumentsCorePack ServerBased (DCP SB) successfully, you are provided with the DCP SB Configuration. But of course, you can also open the configuration randomly. To do so, simply navigate to Settings > mscrm-addons > DocumentsCorePack.

However, the Configuration consists of four tabs:

One of the tabs contains the General Settings. The other three tabs contain the Get Started-area, information about your licensing state and in the About-section you will find your current version number.

The General Settings-tab itself consists of three sub-areas, which will be explained within the following article:

The General Settings, the Advanced Settings and the Special Settings.

 

The General Settings

This area contains all regularly used, general settings. It will be probably the one you will use most of the three provided areas.

Active Debugging

Set this option on enabled if you want to activate debugging. Once activated, all logfiles will be saved into a custom entity called mscrm-addons debug.

Active File Debugging

Set this option on enabled if you want to activate debugging. Once activated, all logfiles will be saved into a logfile directly on your computer (where the service is running).

SPS User

Please enter your SharePoint user here. Should you have any troubles with SharePoint, please check your settings in this tab before you contact our support.

SPS Password

Please enter your SharePoint password here.

SPS Domain

Please enter your SharePoint domain here.

CRM User Name

Please enter your CRM User Name here. The User Name, Password and Domain enable you to define a CRM user.

CRM User Password

Please enter your CRM user password here.

CRM User Domain

Please enter your CRM user domain here.

 

The Advanced Settings

This area contains special settings which are usually only to be set on special occasions.

Use MS CRM 2013 Documentlocation logic

Usually, CRM adds a GUID when creating a SharePoint path.
(for example: https://sps/account/ptm edv systeme_GUID)
By using our Documentlocation logic, you can disable this behavior.

Use short Documentlocation Logic

Replaces the GUID with a tag (6byte).
(for example: https://sps/account/ptm edv systeme_ M8j9IT)
IMPORTANT: This requires that the "Use 2013 Documentlocation logic" is "active" too.

Always Create AutoMergeworkingItems

!! Please do not change this setting if you use Microsoft Dynamics 365 (CRM) Online, because it only affects the on premise version. Once set on true, it will always run via a service, no matter if you merge a single document or bulk merge in Microsoft Dynamics 365 (CRM) on premise.

Try to assign logged on user for documents saved on SharePoint

The service usually runs via a special user, but if you do not want this, you can enable this setting. Once activated, the service will always try to login as the current user.

Debug Max Length

!! Please do not change this setting unless you are told to do so.

SharePoint FormsAuthentication

Another authentication type.

Async Print Jobs

Print jobs are always started in the async mode. Say, it sends the printjobs in an asynchronous manner to the printer. So the printjobs are finished faster, but also the server underlies higher pressure. If you deactivate this setting, the printjobs are sent in a synchronous manner again.
!! Please do not change this setting unless you are told to do so.

Max count of preview pages
This setting defines how many pages will be generated in the dialog - preview. Per default, there are 5 pages shown.

Disable PNG preview
This setting disables the preview in the dialog.

SharePoint Temp Folder
Defines where the Share Point temp files will be saved. If you are not satisfied with the file location, you may change it, but it is not recommended to do so without consulting our support.

Allow edit templates
Once enabled, this setting allows the editing of templates in the dialog.

SharePoint folder max length
Defines how long a SharePoint folder is allowed to be before we shorten it.

SharePoint folder name attribute
Defines which parameter are used in order to create a folder name.
In the following example we define that the folder name for the entity "account" and "contact" should be taken from the field with the schema name ptm_spfield:

​Entityname;fieldname|entityname;fieldname 

Example:
account;ptm_spfield|contact;ptm_spfield

Document Password

!! Please do not change this setting unless you are told to do so.

The Special Settings

Last but not least, the Special Settings. Most of them are related to IFD and their function is only important for developers. !! Please do not change this setting unless you are told to do so.
